The role of Training and Learning Assistant is to be the first point of contact for the Non-Medical Education Teams. The ideal candidate must have exceptional customer service skills as you will be directing learners to their training events and also supporting the trainers during their course. The Training and Learning Assistant must ensure all classrooms are set up to the trainer requirements and ensure all equipment is available. The assistant must also support in guiding candidates to the appropriate break out/ lunch areas, ensure refreshments (where applicable) are available and clear/ tidy the training venues at the end of the date.
Excellent IT and written communication skills are also essential to the role as the Training and Learning Assistant will support the wider team with our learning system (ESR) queries including e-learning and updating training attendance. The person in this role is expected to perform other clerical receptionist duties such as inputting, filing and copying.
It is the responsibility of the Training and Learning Assistant tocheck the stock levels of refreshments, training manuals, stationery and other consumer items, keep an inventory of stock.
The person in this role will support all members of the wider team with their daily duties and they may also be asked to participate in training and learning events both internally and externally.

· Greet and Welcome students, learners and guests as soon as they arrive at the office/BBH
· Direct visitors to the appropriate person/office/classroom
· Answer, screen and forward incoming phone calls
· Receive, sort and distribute daily mail/deliveries
· To check the stock levels of refreshments, training manuals, stationery and other consumer items, keep an inventory of stock
· Update/Amend calendars for room bookings
· To set up rooms and equipment in all training areas, ensuring venues are fully prepared in advance of training sessions, and cleared and tidied after events have closed.
· Report/log IT issues
· Perform other clerical receptionist duties such as inputting, filing and copying
· Act as the first point of contact for Training and Learning queries for students and other learner groups, resolve if possible or pass on to relevant team member.
· To be competent in the operation of the elements of the ESR system related to training and e-learning. This requires accuracy and sometimes speed when inputting large volumes of data accurately e.g. creating e-learning accounts, updating training attendance and placing enrolments.
· To respond to general office enquiries (phone or in person), taking ownership of queries, incidents and training requests as necessary and following these through to completion or escalation, as appropriate.
· To display professionalism by means of prompt and high quality communications (i.e. letters, emails and telephone conversations).
· To be confident engaging with staff and students at all levels within the Trust, adjusting communication style, as appropriate, to the needs of the audience.
· To support the Practice Education team with administrative tasks related to training and learning
· Create registers for training sessions and send reminders to delegates a week prior to their session(s)
· Effectively file course completion records and store appropriately
· To ensure data accuracy and confidentiality is maintained at all times.
· Attend all relevant team meetings where appropriate
· Maintain up to date with all statutory and mandatory training requirements
· Support the wider Training and Learning team with duties appropriate to the grade as required.
· Any other duties appropriate to the grade as required
ESR/ OLM Administrative Support
· To maintain accurate and up-to-date records of e-learning bookings, requests and completions.
· Create e-learning accounts for new starters
· To monitor the e-learning mailbox, identifying actions required for each request and acting accordingly.
· To provide support for e-learning users, assisting with login problems, course enrolment enquiries and simple e-learning functionality problems.
· Input training and appraisal data as required.
