Our client are a non-profit organisation operating in Portsmouth, Hampshire. They are seeking a friendly and organised receptionist to support their team. The successful candidate will be responsible for overseeing and managing the reception desk within the organisation, as well as keeping accurate records and providing administrative support to other departments. The role will also involve interacting with members of the public, so excellent customer service skills are a must. Role Responsibilities: Maintain the office stationery supplies and agree, where appropriate, expenditures from the stationery budget. Keep an up-to-date record of staff contact numbers and vehicle information for the office database. This includes the completion of data protection forms, especially with staff leaving and starting. Ordering and deactivating staff access passes. Provide labels for the office magazine for distribution. Provide general office administration services as required including, the organisation and scanning of archive documents held on file. Management of the postal machine including dealing with any faults, software updates, and adding of funds. Provide administrative support to the office teams. Oversee all reception duties, including hospitality for staff and visitors and dealing with routine enquiries. Act as the first point of contact from the website, dealing with all queries in a timely, professional manner. This includes communicating with various team leads and staff as required to resolve queries efficiently. Organise and allocate incoming post. Co-ordinate the booking of the conference room including bookings by outside users. Facilitate in the running of the staff room, including tea/coffee/milk stock. Person Specification: Previous experience in a receptionist or similar role. Ability to deliver excellent customer service. Excellent written and verbal communication skills. Excellent interpersonal skills. Attention to detail and organised. Ability to handle confidential information. Ability to multitask. Experience with Microsoft Office. Able to work independently. Welcoming and friendly manner. Hours : 35 hours per week (negotiable) Salary : £24,000 to £28,000 DOE Location : Office based in Portsmouth. Benefits : Pension scheme; up to 25 days holiday.
