The Database and Website Administrator will be responsible for overseeing the agency’s databases and websites, ensuring optimal performance, security, and scalability. The role requires a blend of technical expertise in database management (primarily FileMaker Pro and MySQL) and website administration (WordPress). The individual will ensure reliable access to data and website functionality for internal and external stakeholders while maintaining high standards for security, performance, and usability.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
Database Administration (FileMaker Pro, MySQL):
1. Manage, maintain, and optimize FileMaker Pro and MySQL databases, ensuring high availability, performance, and data integrity.
2. Design, implement, and optimize database structures, tables, queries, and reports based on organizational needs.
3. Perform regular database backups, restore tests, and ensure a solid disaster recovery plan is in place.
4. Monitor database performance, troubleshoot slow queries, and resolve any bottlenecks or issues.
5. Implement security measures such as encryption, user role management, and access control to protect sensitive data.
6. Coordinate with various departments to understand data requirements and create custom database solutions to meet operational needs.
7. Provide support for database migrations, upgrades, and capacity planning as the organization scales.
8. Ensure compliance with data privacy regulations such as GDPR and HIPAA, where applicable.
Website Administration (WordPress):
1. Oversee the daily management of the agency’s WordPress-based website, ensuring uptime, security, and performance.
2. Regularly update and maintain the WordPress CMS, including plugins, themes, and security patches.
3. Ensure that the website remains secure, implementing appropriate measures such as SSL certificates, firewalls, and malware scanning.
4. Troubleshoot website performance issues, manage website hosting, and resolve any downtime or errors.
5. Collaborate with marketing and content teams to implement new features and functionalities, while ensuring the site remains user-friendly and accessible.
6. Optimize the website for SEO and site performance, improving loading times, and enhancing the overall user experience.
7. Monitor and manage website analytics using tools such as Google Analytics, generating insights and reports for stakeholders.
8. Manage and maintain web servers, databases, security protocols, automation, and monitoring on Linux Ubuntu to ensure reliable performance and support for internal and external websites.
Security and Compliance:
1. Ensure databases and websites meet the agency’s security and compliance requirements, including data protection and user access control.
2. Conduct security audits, vulnerability assessments, and threat modeling to identify and mitigate risks.
3. Respond to security incidents, ensuring timely and effective resolution while minimizing the impact on operations.
4. Maintain documentation of database structures, website configurations, and security protocols for audit purposes.
Backup and Recovery:
1. Manage backups for databases and websites, ensuring the integrity and availability of critical information.
2. Develop and implement disaster recovery plans to ensure business continuity in case of failures.
3. Test and refine restoration procedures to confirm reliability of backup processes.
Collaboration and Support:
1. Provide technical support for staff and stakeholders concerning database access, website issues, or system errors.
2. Work closely with the development team, marketing, and other departments to ensure websites and databases meet business needs.
3. Train staff on the appropriate use of database systems and assist with custom report generation.
4. Collaborate with third-party vendors for database and website-related projects, such as web hosting providers or FileMaker consultants.
BILINGUAL POSITIONS ONLY:
Specialize in providing services to clients and families who speak a language other than English as a primary language. May occasionally be asked to support with translating/interpreting a language other than English to assist potential or current clients.
OTHER RESPONSIBILITIES:

EDUCATION, EXPERIENCE, TRAINING REQUIREMENTS:
1. 2-year Degree.
2. 2 years of related experience.
3. OR year for year experience to replace degree.
4. WA State driver’s license and driving abstract.
5. If hiring for a bilingual position, must be able to speak, read, and write with proficiency and fluency in the required language.
PREFERRED QUALIFICATIONS:
1. Certifications related to database administration (e.g., FileMaker Pro Certified Developer, MySQL Database Administrator, Linux Ubuntu).
2. Experience with cloud-based database solutions (e.g., AWS RDS, Azure SQL) or managed WordPress hosting environments (e.g., WP Engine).
3. Experience with Load Balancing, Caching, and CDNs to improve website performance.
SKILLS AND ABILITIES REQUIRED:
Knowledge:
1. FileMaker Pro and MySQL Database Management: Deep understanding of both FileMaker Pro and MySQL, including database design, optimization, and maintenance.
2. WordPress CMS Administration: Expertise in managing WordPress, including themes, plugins, security patches, and performance optimization.
3. SQL Querying and Optimization: Knowledge of SQL for writing queries, performance tuning, and troubleshooting.
4. Web Hosting and DNS Management: Familiarity with web hosting environments, DNS management, and domain configuration.
5. Backup and Disaster Recovery: In-depth understanding of database and website backup strategies, restore processes, and disaster recovery planning.
6. Security and Compliance: Knowledge of web and database security practices, including SSL certificates, firewalls, encryption, and user access control.
7. SEO and Web Analytics: Basic knowledge of SEO principles and web analytics tools like Google Analytics for improving site performance and search visibility.
Skills:
1. Troubleshooting and Problem-Solving: Strong skills in diagnosing and resolving issues related to databases, websites, and server performance.
2. Database Query Optimization: Ability to optimize database queries for better performance and efficiency.
3. WordPress Site Management: Advanced skills in WordPress site management, including applying updates, monitoring performance, and ensuring security.
4. Backup and Recovery Execution: Ability to execute regular backups, test recovery processes, and ensure data integrity.
5. Security Auditing and Incident Response: Skills in conducting security audits and responding effectively to security incidents affecting databases or websites.
6. Automation and Scripting: Familiarity with basic automation or scripting (e.g., Bash, Python, or PHP) for managing routine tasks in databases or websites.
7. Collaboration and Communication: Strong communication skills for working cross-functionally with non-technical teams and external vendors.
Abilities:
1. Adaptability to New Technologies: Ability to learn and implement new database or web technologies and adapt to changes in security practices or business needs.
Remote Work: May be eligible for a hybrid work schedule based on departmental needs.
Essential Employee: This position is a remote essential employee who ensures the continuity of critical functions and business operations at Opportunity Council. This position will be expected to report to work on-site (or remotely at the discretion of the CFO) even if Opportunity Council is otherwise closed for services and operations due to weather, public health emergency, or similar event.
Working Conditions: Work will be performed onsite in an office setting following current safety protocols. Work is generally performed in a fast-paced client office environment with frequent interruptions and occasional crisis situations. May require travel within the agency’s service area for classroom sites, meetings, special workshops, trainings, and other job-related activities.
