Job Description
In November 2024 the T&T UK business implemented UK corporate travel management services from a new Travel Management organisation, AMEX GBT Egencia, and the processes and system are operating in a steady-state with 91% self-booking using the Egencia tools and Apps, and 97.1% compliance with the UK Travel and Expenses Policy.
We are looking for a UK Travel Manager to be the T&T UK lead for corporate travel, bringing business, people, behaviours, culture and process change experience to the users/travellers, business leaders and stakeholders, to enable the UK travel programme to mature and users/travellers to get the best rail, hotel, air and car deals and services. To effectively manage travellers and travel arrangers by responding to day-to-day operational queries related to travel and travel processes, promoting stakeholder understanding of the travel programme and the tools and services available from Egencia.
This role suits someone who is self-directed, resilient in dealing with resistance to change and issue resolution, and has a passion for making a difference to T&T UK colleagues, working at multiple levels at the same time within T&T and with third party organisations such as Egencia and HSBC.
Responsibilities will include:
Core activities:
* Responsible for the Strategic Business Plan (started development with Egencia in ONC 11/2)
* Day-to-day UK travel operations and issue/problem solving, ensuring excellent customer service and follow-up of issues
* Working with the Egencia OTM (Outsourced Travel Manager) and Egencia Account Manager
* Developing, Maturing and Operational Ownership of the travel strategy and programme
* Super-User access to all profiles and edit any data, create, modify and deactivate profiles, manage passwords and security
* Manage Users (able to access all profiles and edit any data, create, correct, modify and deactivate profiles)
* Twice weekly user data updates, working with HR on traveller and approver profiles (starters / movers / leavers), with manual manipulation of HR data prior to upload, to cater for 'special' traveller groups who have varied approval set ups.
* Manage the T&T Online Booking Tools (rates, approvals, policy, etc.)
* Working with HSBC on the Virtual and Lodge card programme (balances, limits, issues, etc.) with Tristan Allen (T&T Corporate Treasurer
* Working with the UK Admin Team as “change champions” to advocate the new ways of working share knowledge
* Analysis and reporting using the Analytics Studio data, standard & bespoke reports
Other / ad-hoc activities:
* QBRs (Quarterly Business Reviews). The first for Q1-25 will be 23 April 2025
* T&T stakeholder, contract and supplier management and liaison
* Report analyst activity – making the most of the Egencia Analytics Studio and Reporting (examples: looking at out-of-policy travel, or odd booking/travel trends)
* Reporting of travel, adoption, spends, compliance & carbon
* Optimising travel operations, driving continuous improvement, identifying opportunities for improvement and development of travel programme
* Manage and update the UK Corporate Travel T2 site, links and content
* Access and update travel policy, supplier policy and display, customise site, links, pop up traveller messages
* Travel Policy management/upkeep (with Finance), compliance with policies/procedures
* Maximising cost reductions and avoidance
* Negotiate contracts and rates, Procurement/ tenders for travel services
* Regular comms and engagement with stakeholders, users / travellers
* Liaison with Angela Smith (CBRE-EMEA Travel Manager)
* Awareness of the travel payments and invoicing processes, working with UK Finance teams
Qualifications
We’re looking for someone who has a diverse set of skills to effectively manage travel arrangements and ensure smooth operations:
* Managerial Skills: Essential for overseeing travel plans and handling emergencies in a level-headed, logical manner. Managing and owning the relationships with other internal teams key to travel ( Finance, IT, risk, governance, etc), as well as managing the relationship with Egencia
* Excellent Communication Skills: Essential for conveying travel policies, handling emergencies, and interacting with emotional employees and senior stakeholders
* Stakeholder Management: Stakeholder engagement and management, within T&T and with outside organisations
* Business change advocate: Bringing people together to embed new ways of working
* Problem-Solving Abilities: Important for addressing travel-related issues and finding efficient solutions
* Adaptability: Ability to handle unexpected changes calmly, and adapt to new technologies and trends
* Empathy: Understanding travellers’ needs and providing support during their journeys
* Industry and GDS Knowledge: Understanding the latest trends and technologies in the travel industry, Familiarity with Global Distribution Systems like Amadeus. The industry knowledge can build over time supported by Egencia and the existing UK Travel Director and Travel Manager
* Commercial / Negotiation Skills: Useful for securing the best deals with travel vendors, and with Egencia around the Quarterly Business Reviews and performance against SLAs and KPIs
* Analytical Skills: Needed for analysing travel data, creating reports and optimizing travel policies.
* Data/System skills: Basic excel skills (vlookups, pivots, etc.), manual data manipulation from error reports. Confident navigating online travel systems to make profile changes, etc
In addition to these specific skills, the role requires someone who:
* Is able to build strong working relationships remotely, internally and externally to proactively identify and solve issues and regularly deliver high levels of satisfaction
* Enjoys being part of a fast-paced, pragmatic environment and collaborating with other parts of the business and other organisations with different working cultures, to support the embedment and success of the UK travel programme
UK Board Oversight
The role holder to be supported by a Managing Director sponsor on the UK Board, across:
* UK Board ownership of the UK travel strategy and programme
* Quarterly Business Reviews (QBRs. 4 per year) and contract management – performance against SLAs, savings, sustainability, opportunities, online adoption, compliance, travel programme maturity, industry insights,
* Supplier, Contract and Stakeholder management
