Job Title: Lead Contract Support CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We are recruiting a Business Unit Lead Contract Support to join the team located in Leeds. The main responsibility of this role is to provide leadership to the Contract Support team and financial and administrative support to the Finance & Contract Support Manager and Finance Leads Main Duties and Responsibilities • To assist with the control of all financial and commercial aspects of contracts, this includes but not limited to o Managing invoice pool supporting the CS team with clearing overdue invoices o Monitor the contracts OPO's and GRNI over 90 days and support resolving issues o Monitor the contracts debt and support both Contract Managers and Contract Support on resolving issues o Monitor the contracts WOM to ensure everything is current and support in closing out aged Work Orders. Also, ensure WOM meetings are conducted thoroughly with the correct analysis o UBR / UER review and management with teams • To prepare and issue weekly metrics document and give updates on metrics during weekly team meetings • To liaise with Finance Manager and Finance Leads on Financial Ad Hoc Requests such as PO compliance and Debt management • Attend Contract Reviews and contribute sharing best practice for improvements • Plan and lead regular Contract Support Meetings and LCS (I.e. the whole Contract Support) • Hold regular 1-1s with LCS team to check on support on area of weaknesses and support • Ensure Contract Support new starters have all systems set up and necessary training has been carried out • Arrange and support with annual leave cover for LCS/CS • Create and maintain 6 box for CS along with improvement plan • Provide ad hoc training for the CS and Management team on SLT subjects • Conduct Contract Support and Helpdesk Interviews for potential and current vacancies • Support with Finance and Contract Support Manager and Finance Leads with Month End tasks where needed • Support in the mobilisation and demobilising of Contracts • Review Annual Maintenance PO's & other POs when required • Ensure the billing process is followed and managed to meet internal billing deadlines to avoid UBR creation • Support with Business Unit improvement projects PERSON SPECIFICATION • A good basic education is essential, with at least GCSE passes in Maths and English or equivalent. • Higher educational qualifications to 'A' level/HNC/D or degree would be beneficial or equivalent. • Good PC based skills, with experience in Word/Excel and Outlook, PowerPoint etc. - intermediate to advance level. • Must demonstrate a strong sense of customer focus. • Excellent verbal and good basic standard of written communication skills. • Self-motivated, proactive and systematic. • Able to prioritise demands and make decisions under pressure. • Results/ task orientated, attention to detail and accuracy. • Excellent time management and organisational skills. • Commitment to continuous improvement. • Ability to work as part of a team, as well as independently. • Reliable and committed. • Confidential and discrete approach. • Calm manner, able to work under pressure and with changing demands and priorities. • Be flexible to work outside core office hours from time to time.
