Overall purpose of the role:
The Hire and Sales Administrator is responsible for providing a full, end to end hire and sales administration support function for the business. Working closely with and supporting the Hire & Sales Controllers, Key Account Managers, Regional Managers, Service Manager, and Stores Controller. The role is responsible for ensuring all customer interaction, transactions, and administration are carried out in a professional, accurate, and timely manner.
Main Duties & Responsibilities
* To provide full administration support to all members of the sales team both internal and external.
* To deal with inbound queries in a professional and friendly manner, building strong customer relationships, advising on delivery dates, transport schedules, and lead times.
* To produce quotations for customers as requested.
* To confirm sales orders, transfers, hires, and off-hires.
* To communicate all back orders and delayed orders to customers at the earliest opportunity.
* To manage the on hire and off hire processes.
* To process all orders accurately from quote to delivery.
* To run invoice batches.
* To assist with the service recall process on request.
* To book couriers when required.
* To raise and report any safety issues, accidents, and/or near misses promptly.
* To deal with and respond to all emails and phone calls promptly, ensuring none are missed.
* To cover any other admin duties required to support the business.
Health & Safety Duties & Responsibilities
* To participate in any communication activities through formal and informal channels on safety matters to ensure that there is a free flow of ideas.
* To ensure all contractors and visitors to site follow correct signing in and induction procedures.
* To ensure that the Thermac safety image is reflected positively through your actions.
* To ensure that you have received the necessary training so that you can competently carry out your duties and responsibilities.
* To acknowledge and accept a personal responsibility for safety.
* To readily raise any concerns over Health & Safety breaches in accordance with Company Procedure.
* You will be required to ensure that safety initiatives are implemented within areas of your control.
Critical Performance Measures (CPM’s/Objectives)
* All sales, hires, off-hires, and transfers to be confirmed on time.
* Sales Inbox and Incoming Enquiries dealt with and closed out daily.
* To report weekly on back orders and delays with reasons.
* To minimise credit risks by ensuring all Sales/Hires/Off-hires are transacted accurately.
* Ensure customer equipment is collected and billed promptly.
* To run invoices batches daily.
* To raise and report any safety issues, accidents, and/or near misses promptly.
Experience/Qualifications required:
* Self-starter.
* Ambitious and driven.
* Confident and outgoing.
* High standard of work and attention to detail.
* IT Skills – proficient in MS packages and quickly able to learn new systems.
