Job Title: Fleet and Travel Coordinator (250000C9)
Reports To: Deputy Chief of Staff
Compensation: starting annual salary of $51,000; commensurate with experience
Position Profile:
The Suffolk County District Attorney’s Office (SCDAO) seeks a motivated, organized, and detail-oriented individual dedicated to public service, committed to justice and fairness, and interested in criminal justice reform. This is an operational role within the SCDAO that primarily focuses on coordinating the day-to-day administrative responsibilities for the office’s fleet of vehicles as well as coordinating and supporting travel requests. A successful candidate will have the ability to work with multiple disciplines across SCDAO, including Assistant District Attorneys, Victim Witness Advocates, Civilian Investigators, and Administrative Staff in a fast-moving environment, and possess excellent oral and written communication skills.
Essential Functions:
* Coordinate all fleet needs such as notifying and following up on required preventative maintenance, booking rental vehicles, and other items as needed.
* Coordinate parking garage passes for SCDAO employees and visitors while maintaining relationships with garage management.
* Work with SCDAO Narcotics and Asset Forfeiture Unit and local police departments regarding defendant forfeited property, including inspection, towing, sale/auction, and dividing sale proceeds.
* Coordinate all SCDAO travel support, including booking transportation and accommodations for witnesses, victims, experts, and employees.
* Update the Cloud Program to ensure that all fleet and travel data is accurate and up to date, including:
o Vehicle transfers and current driver updates
o Maintain Case Expenditure Forms authorizing travel
o Fleet status (operational, non-operational, available)
o Maintain driver/vehicle log records
o Maintain files and folders in accordance with office records retention policies
* Coordinate employee and vehicle onboarding/offboarding.
* Responsible for internal annual vehicle inspections.
* Create reports related to vehicle costs, fleet management, and travel as needed.
* Assist with vehicle purchases and replacements.
* Ensure compliance with Massachusetts and Federal DOT regulations.
* Maintain program integrity by following policies and procedures.
* Other duties as assigned.
Other Responsibilities:
* Attend required training and other relevant training for SCDAO functions.
* Familiarize and comply with SCDAO Personnel Policies, particularly regarding confidentiality and workplace conduct.
* Exercise respectful and professional behavior and communication with the public, judicial, law enforcement personnel, and office staff.
* Complete work assignments in a timely, accurate, and efficient manner.
* Perform other duties as assigned.
Physical Demands: Ability to sit and stand for extended periods and lift up to 20lbs.
Travel: Occasional travel required to deliver or pick up vehicles, documents, etc.

Education and Experience:
Required:
* Strong written and verbal communication skills.

* Valid driver's license.
* Ability to meet deadlines successfully.
Preferred:
* Bachelor’s Degree or equivalent in education and relevant experience.
* Experience in a professional office environment.
* Fluency or conversational abilities in Spanish, Haitian Creole, Mandarin or Cantonese Chinese, Portuguese, or Cape Verdean Creole.
* Working knowledge of the criminal justice system and interest in public service.
