Position Details Academic Services Location: University of Birmingham, Edgbaston, Birmingham UK Full time starting salary is normally in the range £32,296 to £34,866 with potential progression once in post to £39,105 Grade: 6 Full Time, Fixed Term contract up to February 2026 Two positions available Closing date: 5th January 2025 Role summary Registry is a major division within Academic Services at the University of Birmingham, with responsibility for key services at a leading global university. Registry and Education Support is at the heart of academic activity at the University, leading solutions for a successful student journey. The delivery of major pan-institutional, education-focused priorities have a key impact on the student experience. The Timetabling and Examinations team in Registry manage the scheduling of teaching throughout the academic year, the production of online timetables for students and staff, delivery of the University’s centrally managed exams and administer the Web Room Booking service for non-teaching bookings. They provide key services to students and the wider University community and also develop, manage and improve the policies and processes underpinning these services. The Timetabling and Examinations Project Officer will work on large and complex technical and strategic projects, as well as internally leading on process improvements and stakeholder engagement plans, the appointee will be both technically proficient and possess excellent interpersonal skills. You will be expected to work proactively and use your initiative and planning skills to set your own priorities to ensure progress is maintained as expected, identify any issue and propose solutions. The Timetabling and Examinations team in Registry offer a dynamic working environment where innovation and continuous improvement are core priorities. The post holder will operate at the forefront of these priorities, in conjunction with the Head of Service and Assistant Director. Main Duties Contribute to developing communications plans, presentations, and promoting the projects and outcomes of projects/workstreams. Support the development of automation initiatives, identifying opportunities to streamline processes and increase productivity. Support key projects by collaborating with colleagues across IT Services, the Colleges and Academic Services. Deliver training sessions for team members and create documentation and learning environments. Lead on process improvement efforts, addressing bottlenecks and implementing solutions to enhance Timetabling and Examination operations. Act as an escalation point for complex queries, providing expert guidance and resolving issues promptly. Support User Acceptance Testing (UAT) by overseeing testing activities related to system releases and updates. Collaborate with the Timetabling and Examinations management team to contribute to the planning and development of services. Assist in the development of specialist reporting, as the team transitions to Power BI. Assist in the evaluation and review of projects. Utilise technical skills and software to support the effective use of Timetabling and Examination data across the university. Engage in Timetabling Leadership discussions, focusing on the technical aspects of operations. To undertake any other duties, projects or special tasks as may be assigned from time to time by the Assistant Director or Director of Registry. Person specification Educated to Degree level (or equivalent qualifications). Where no equivalent qualification is held, significant practical relevant experience and expertise in a similar role will be required. Ability to understand policy, processes and procedures, but also to recommend and deliver improvements and implement changes. Supports the University’s sustainability agenda through resource efficient working. Promotes equality and values diversity acting as a role model and fostering an inclusive working culture. Any other duties commensurate with the grade. Experience in Business Process Automation (BPA) is advantageous, with a focus on optimising end-to-end processes. Highly proficient IT skills, including the wider in Microsoft 365 Office suite, with strong skills in data management and analysis. Knowledge of Power Automate and PowerApps is desirable. Exceptional attention to detail and proven ability to manage time effectively, delivering process improvements within set deadlines. Excellent literacy and numeracy skills, with the ability to articulate complex ideas and analyse information and data. Excellent interpersonal skills. The postholder must inspire confidence and be capable of explaining technical concepts to a wide range of stakeholders. A high degree of initiative, personal judgement, resourcefulness, flexibility, creative problem solving and a self-motivating approach. Demonstrated ability to work autonomously while collaborating effectively in a team environment. Proven negotiation and influencing skills, essential for managing stakeholder relationships and driving consensus on process improvements. Ability to work effectively in a large, complex organisation, and to develop a good understanding of how the University and higher education institutions work.
