Systems Lead on innovation and the best use of systems to benefit the Practice to meet CQC standards and improve the cost effectiveness and efficiency of our existing and new services. Co-ordinate the use of SystmOne searches, protocols, templates and alerts with a view to extract data for service improvement, internal and external reporting and quality improvement, e.g. Long Term Condition and QOF targets. To support the development and update the Practice Intranet (TeamNet) and website with organisational information. Provide upskilling training to the Practice staff on the use of quality systems. To build a working relationship with the NHS IT system provider (currently The Health Informatics Service THIS) to maximise the benefit of the service for the Practice. To develop robust system business continuity plans, working with the NHS IT system provider to minimise disruption to the Practice should a service and system failure occur. To put in place operational plans to ensure the Practice maintains an operational service to our patients despite the system failure, using safe, secure and appropriate bypass procedures. To be responsible for ensuring that all system related standard operating procedures are documented, reviewed appropriately, communicated, and are all being adhered to. Put in place improvement plans to address any non-compliance. Maximising internal systems to ensure robust delivery of services. Review NHS service documents and operationalise them to ensure the Practice understands and meets the targets and requirements within the specification. Review and update the annual KPI document and any associated management support documents to ensure the Practice has up to date, accurate and timely information. This includes providing monthly and quarterly updates against targets set. Provide support to the management team in producing effective reports for the benefit of the Practice. These reports may help financially, clinically or patient related. For example: Capitation Targets Formulary Audit/data/disease groups Target based workload analysis Appointment analysis System development including template management Report any significant events relating to systems which could affect the operation and integrity of the Practice Services. Assist the Practice in the ongoing development and implementation of the Practice Communications Strategy. To be supportive, flexible and carry out other duties as required and requested by the Practice. Quality To lead on ensuring best practice in Information Governance. To work closely with the ICB, Data Protection Officer. (DPO)/Information Governance (IG) Lead, to ensure that all requirements in line with technical, cyber and physical security standards are delivered and maintained to the highest standards whilst complying with best practice. Undertaking the range of tasks required or advised under GDPR / by the ICO / National Data Security and Protection Toolkit such as data mapping, reporting data breaches, compiling retention schedules, compliance audits including SARs etc. Managing and overseeing agreements with third party organisations to ensure our data is protected appropriately, ongoing suitability of third-party suppliers and compliance. Ensuring data sharing agreements are in place with third parties. Identifying training needs and regular staff updates. To ensure compliance with the Data Protection Security Toolkit around Data requirements and develop actions plans to address any non-compliance.
