Role overview The Business Manager will be a strategic, highly professional and supportive member of the school s Leadership Team, playing an active and effective role in the continued development of the school. The Business Manager will manage the day-to-day operations of the school ,ensuring that all our buildings are maintained to a high standard and are comfortable and free of hazards for students, staff and visitors. Managing the operation within set parameters and adhering to budgetary control and provide strategic input and clear direction on: Financial management and credit control Estate and facilities management including development planning Health and safety IT systems Commercial lettings and contracts including tendering The post holder will have the ability to manage diverse teams effectively and possess excellent communication and administrative skills. Reports to The Business Manager reports to and is directly responsible to the Principal. From time to time and under the auspices of the Principal, the Business Manager will work directly with members of the CGS Central Team. Main Responsibilities The duties specified are not intended to represent an exhaustive list, and will vary where necessary to suit the skill set of the candidates and post holder and the needs of the school: Managing Finances and Resources To prepare the proposed annual budget in consultation with the Principal and CGS finance staff in line with the School s Development Plan and statutory priorities. To be responsible for the management and reporting of the agreed budget and accounting functions, including the bank accounts for the school; ensuring the efficient operation according to agreed procedures and in conjunction with CGS finance staff. To advise the Principal of the financial consequences of options open to him/her including fee setting and business strategy. To organise relevant lease arrangements with the approval of the Principal and CGS. To be responsible for the management for school facilities: Catering Maintenance Cleaning Human Resources Lettings Estates and Facilities Management Manage the maintenance staff to ensure that all minor maintenance tasks are remedied within 24 hours. Maintain costs and records of all maintenance/minor works undertaken. Carry out checks to ensure that works are carried out to a satisfactory standard. Create and maintain a schedule of regular maintenance work. Ensure that all alarms and equipment are regularly tested to ensure that all current regulations are adhered to. Authorise any maintenance spend with specific allocated budgets. Monitor at all times the use of facilities. Maintain the warranties and insurance for all new equipment. Raise requisition forms and Capex s for all non -academic purchases. Health & Safety To undertake the role of the School s Health and Safety Co-ordinator locally. To work within the CGS Health and Safety Committee to ensure the health and safety policy is implemented throughout the School. To oversee the management of fire safety procedures, including maintenance of fire protection equipment, fire drills and alarm tests. Ensure that students and staff are familiar with evacuation procedures from the various buildings. Maintain records of staff and students briefings on fire precautions and all other Health and Safety issues. IT Networks To agree in conjunction with the IT Director the annual budget and monitor expenditure against budget throughout each academic year. Together with School Leadership Team and CGS staff to agree strategic development of IT systems within the school. Plan capital expenditure to routinely replace the IT infrastructure and user technology in keeping with priority areas and business need Support curriculum leaders and the Vice Principal to ensure the data needs of the school are met through appropriate systems. Lettings To be responsible for the letting of the School premises to outside organisations and for the development of all School facilities for community use. To establish and implement a liaison regime to manage the community use arrangements including insurance, safeguarding and health and safety. Transport Maintain servicing schedules and ensure that all vehicles are serviced accordingly. Ensure that all vehicles have MOT inspections when due. Ensure that all vehicles are road taxed. Arrange for all vehicles to be serviced and repaired as and when necessary. Arrange and supervise all other transport arrangements. Security Ensure that requirements of the school security procedures are observed in relation to staff, students and premises. Ensure that standards of good housekeeping to ensure cleanliness and tidiness of premises and surrounding areas. Person Specification Qualifications & Experience Previous experience in an educational/facilities environment, Good man management skills, Good communicator, Ability to work using own initiative, Ability to work within timeframes, Numerate, Good negotiating skills.
