Team Overview Our Professional Support Facilities team of 9 are dedicated to supporting the wider business, ensuring that our infrastructure, operations, and facilities run smoothly. The Facilities team plays a pivotal role in maintaining an optimal working environment and delivering a seamless experience for our staff and visitors. With over 600 employees on-site, the team ensures that the building and its services align with the evolving needs of the business and its people. Role Overview We are seeking a highly organised and service-oriented professional to support the Head of Workplace Services in managing the day-to-day operations of our facilities in collaboration with the house assistants. This pivotal role ensures that all services are delivered efficiently, to the highest standards, and on schedule, creating a seamless workplace experience for our employees and visitors. The ideal candidate will excel in customer service, teamwork, and operational excellence, serving as the primary point of contact for business teams. Key Responsibilities Management of 4 team members, supporting them on both a day-to-day basis as well as their professional development and growth. Support in the management of resource planning for the team. Assisting the Head of Workplace Services in streamlining operations, with a view to supporting long-term strategies of the firm. Take ownership of the Facilities ticketing system, ensure tickets are being responded to within the agreed SLA, escalating to the appropriate suppliers, and ensuring smooth resolution from start to finish. Maintain clear communication with all stakeholders throughout the process. Ensure that the majority of issues are identified by, and tickets are raised by the Workplace Services Team. Act as the point of contact for engineers, handymen, and contractors, logging faults and coordinating with Building Security and suppliers to resolve issues promptly. Ensure any works are covered by RAMS and all contractors have received and signed a H&S induction. Serve as the first point of contact for all staff regarding facilities-related matters, providing updates on ticket progress and news via the intranet or Teams channels. Keep senior administrators informed at monthly meetings. Assist in reviewing current suppliers and exploring green alternatives. Gain knowledge of government environmental regulations and ensure compliance. Manage the access control platform, ensuring policies and processes are followed. Lead the response to minor incidents such as leaks, managing the immediate situation, escalating underlying problems, and ensuring no risks to staff safety. Learn the fundamentals of fire safety procedures in the office and assist with routine fire safety monitoring. Serve as a designated first aider, logging incidents correctly and responding promptly to emergencies and ensure all H&S lists in the office are up to date. Perform regular H&S checks, including restocking first aid supplies and updating safety signage. Skills and Experience GCSEs including English and Maths grade A-C/level 4-9, or equivalent Demonstrable experience in a Professional environment ideally within Facilities / Workplace Management Organised and able to multi-task and attention to detail Understands good customer service Good communication skills (written and verbal) with a professional manner Track record of line management experience MS Office Suite (Outlook, Teams, Word, intermediate Excel) Approachable with the ability to engage and manage teams effectively Reliable & willing to learn Foster relationships with team members, colleagues and stakeholders Ability to retain confidentiality Good time-management The role requires being attentive to operational challenges, identifying potential issues proactively, and contributing innovative and creative solutions to improve processes and service delivery.
