About Us Based in Brighton, Jack Rafter provides carpentry services to main contractors and full builds for small construction projects to both commercial and domestic clients. Job Summary You will work closely with our dynamic and lively management team to ensure the smooth running of the business. It is a varied role and mainly a construction administration role which requires a very good understanding of the construction industry. Key Responsibilities Confirming/authorising timesheets of all labour on all projects daily/weekly Credit Control daily/weekly Fleet management ad hoc Administration of retention sums for completed projects fortnightly Supporting management in applying for monthly/fortnightly payments for all projects monthly/fortnightly Ensuring clients are charged correctly, including any extra labour and materials and correct VAT amount applicable depending on the type pf project ad hoc Processing all day-work sheets and issuing invoices for projects on day-works daily/weekly Processing all recruitment agencies timesheets and matching them to invoices and projects daily/weekly Answering phone calls and either direct them to the appropriate staff members or take messages daily/ ad hoc Dealing with all emails and, where necessary, forward them to the relevant person to deal with - daily/ ad hoc Provide administrative support to the management and site team, such as preparing documents, e-filing, producing reports and presentations and anything else required for the smooth running of the business daily/ ad hoc Check all labour invoices are ready for payment each week and, if any is missing, call the relevant labourers to chase their invoice - weekly Ensure all kitchen and office supplies are stocked up and order new supplies as/when needed weekly/monthly Process and new enquiries and creating all the relevant documentation/filing system needed for the tendering process daily/ ad hoc Keeping the drawings folders updated at all times and archiving old redundant drawings this may have to be completed by using online portals which differ from client to client daily/ ad hoc Completing forms of all kinds, from new suppliers credit accounts to building control assessments daily/ ad hoc Completing pre-qualifying questionnaires for all new potential clients ad hoc Assisting the Operations Manager with the preparation of all documents for the submission and completion of CHAS and Constructionline memberships and any other H&S requirement ad hoc Assisting the Operation Manager in organising site operatives training and applying for CITB grants ad hoc Assisting the Operations Manager in managing apprenticeships ad hoc Maintaining the teams Outlook diaries updated with all application/valuation dates and any other essential date to remember - for all projects ad hoc Maintaining both training matrix and holiday register updated ad hoc Required Skills and Qualifications Excellent communication skills and a professional telephone manner Able to take instructions by all members of the management team Proficient business administration Proficient in Excel, Outlook, Word and any One Drive application Previous experience in a customer service or administrative role is essential Previous experience in a construction administration role is essential Ability to work both collaboratively as a team member and on own initiative Minimum of 5 GCSEs (or equivalent) with A-C grades, including Maths and English. General Information Working hours: 20 hours per week (TBC) Employment type: Permanent/Part Time Probation period: 6 months Statutory Paid Annual Leave: 28 days including bank holidays (pro-rata) Sick Leave: Statutory only Salary: £15.00 per hour for the duration of the probation period to be reviewed once permanent employment is confirmed on completion of probation period and depending on experience.
