We are looking for a dynamic and motivated Administrative Support Coordinator to join our team and make a real impact within the Abbey Health Primary Care Network (PCN). In this vital role, you will be at the heart of delivering a comprehensive, professional, and responsive administrative service that supports care coordination and PCN responsibilities across the Abbey Health PCN footprint.
You will work closely with our PCN Operations Manager and Strategic Manager, providing essential day-to-day support to drive current and future workstreams. You will also collaborate with senior leaders, including the PCN Deputy Clinical Director and Clinical Director, ensuring the smooth running of operations and contributing to our mission of delivering high-quality care to the community.

Main Duties of the Job
As an Administrative Support Coordinator, you will play a vital role in ensuring the efficient operation of the Abbey Health PCN. Your responsibilities will include:
1. Collecting and analysing data from EMIS to produce reports.
2. Responding to telephone and email enquiries with professionalism and initiative.
3. Providing essential administrative support for PCN-related meetings, including minute-taking, agenda preparation, and coordination.
4. Supporting various projects and ensuring services comply with established specifications.
5. Maintaining electronic and physical records in line with information governance standards.
6. Assisting with staff training, recruitment, and induction processes.
7. Conducting audits and handling enquiries with confidence.
8. Organising and managing events such as PCN Away Days, training sessions, and meetings.

Job Responsibilities
MAIN DUTIES AND RESPONSIBILITIES:
1. Data collection from EMIS for ARRS roles and the creation of reports.
2. Receive and respond to telephone calls, e-mails, and correspondence and deal with where possible, using a measure of independence, judgement, and initiative.
3. Take minutes at PCN related meetings including staff appraisals, team meetings, etc.
4. Support agenda setting and setting up of meetings for PCNs.
5. Provide project support as and when required.
6. Ensure PCN services run in line with service specifications, highlighting any issues or concerns to relevant senior staff as appropriate.
7. Provide day-to-day administrative and operational support on specific projects, exercising initiative.
8. Ensure all filing is completed promptly and in-line with information governance standards.
9. General administrative tasks for PCNs, including photocopying, filing, laminating, scanning, shredding, and binding of documents.
10. Assist in providing training to new staff as required in own areas of work and assist in the recruitment and induction of new staff.
11. Undertake audits as required, ensuring appropriate documentation is readily available.
12. Deal confidently and effectively with enquiries.
13. Provide regular updates to the management team as and when required.
14. Liaise with, support, and engage with Practices as required.
15. Organise PCN meetings and events such as PCN Away Days and educational events.
16. Maintain effective communication and engagement channels with colleagues.
Person Specification
Qualifications
* Education to GCSE Standard (Grades A-C) or Diploma / HNC Level (or relevant experience).
* NVQ in health and social care.
* ECDL or equivalent.
Skillset
* Willingness to undergo further training or development.
* Flexible approach and highly motivated.
* Ability to work under pressure in a busy working environment and able to multi-task.
* Works well within a team.
* Evidence of good written and verbal communication skills.
* Good telephone manner.
Experience
* Experience of administrative duties.
