The Role: Senior Administrator / Southend Office Based
Job Summary:
The post entails undertaking all office administration tasks to ensure the effective and efficient running of the Team, office systems and procedures.
Main Duties and Responsibilities:
1. Provide administrative support to the Manager and team.
2. Respect confidentiality and comply with your duty of confidentiality to the company. Ensure all information is stored safely and securely.
3. Respond to all telephone or visitor enquiries respectfully and communicate effectively and appropriately.
4. Effectively respond and record applications from prospective telephone contact through to approval at Panel.
5. Ensure filing is completed and files are maintained appropriately, including archives.
6. Undertake typing as requested within timescales.
7. Take minutes of meetings including team meetings, providing accurate typed records and disseminating records within agreed timescales.
8. Input data on electronic systems.
9. Order stock and process invoices.
10. Liaise with outside agencies and contractors to book venues, arrange catering and book training places.
11. Coordinate requests for reference checks, DBS etc., monitoring returns and recording receipt on the Agency’s system.
12. Communicate with independent Form assessors regarding checks and queries to ensure the timely and efficient completion of assessments.
13. Support the team with marketing, responding to calls, taking applicant details, sending out letters and information packs, and possibly assist the team at outside events.
14. Administrate the coordination of the Agency training programme, upload all information to the Agency IT system including training offered, date, attendees, carers training log etc.
15. Undertake training as opportunities arise relevant to the post.
16. Undertake any other duties required by the Registered Manager or Company Directors.

1. Good levels of literacy and numeracy skills.
2. Typing, telephone and organisational skills.
3. Good attention to detail.
4. Ability to stay calm under pressure.
5. Experience of regulatory inspections.
6. Methodical and thorough approach to work.
7. Organised.
8. Good at juggling tasks and prioritising.
9. A great team player.
10. A desire to show initiative.
11. Good recording and record keeping skills.
Other Requirements:
Up to date Enhanced DBS and registration to DBS Updating Services.
The Package:
Salary £25,000 - £30,550 (depending on level of experience).
9:00am – 5:00pm (1 hour for lunch).
25 days holiday + bank holidays.
Southend Based.
Parking paid for by the company.
