As part of the Lingfield Park Team to assist the Clerk of the Course as required to ensure the safe, compliant and efficient raceday operations through communication with Owners, Trainers, British Horseracing Authority Officials, Stable Staff and the general public alike. To look after winning connections during a raceday, with particular emphasis on building relationships with the horsemen and improving the owner experience.
This role is based at Lingfield Park, however, due to the nature of the role you may be required to complete relevant work for other ARC Racecourses, and potentially travel to, other Racecourses in the course of your duties as set out below.
RESPONSIBILITIES
1. General management of Racecourse Office ensuring an adequate supply of standardised BHA forms are retained in-house at all times.
2. Notification of all key raceday services; Drs, Vets, Stewards, Medicare (Paramedic/Ambulance Providers), Nurse prior to race meetings to advise them of times, stalls tests etc. This service will also be provided to other racecourses as requested by Head Office.
3. To assist in the preparation of Doctors/Nurses/Vets roster and distribute it, ensuring the racecourse has adequate cover at all fixtures in line with our health and safety guidelines plus the BHAGIs.
4. Ensure all fixtures and race times are communicated to all raceday operators e.g. Doctors, Medicare Nurse, Vets and Announcer.
5. In conjunction with the Clerk of the Course to prepare and update Veterinary & Medical Standing Orders annually for Lingfield and other Courses in conjunction with the BHAGIs.
6. Coordinate all necessary officials and contractors in the event of late notice additional fixtures.
7. Keep all staff informed of race times and divisions prior to race meetings.
8. Responsible for ordering and keeping stock record of mementoes for winning connections. Liaising with accounts department re: memento budgets.
9. Monitor requests for overnight stabling.
10. Available to the general public on race days and assist with queries/problems.
11. Main point of contact for Owners and Trainers to assist with tickets and any advice relating to their visit.
12. Entertain winning connections following their success, ensuring they receive the best possible service and representation to enhance their experience at LingfieldPark whilst obtaining feedback to maintain and improve standards.
13. Complete projects as requested by the Clerk of the Course ie; Annual Fixture Review, Program Book, Racing Calendar, Prize Money & RCA questionnaires.
14. Administer race name changes, liaising with the Racing Department at the BHA.
15. Walk the course with Clerk of the Course, if required, in order to deliver accurate Going reports to Owners & Trainers prior to racing.
16. Take Going Stick and soil moisture readings for publication as required prior for declarations and on the morning of racing for NH & & Flat Turf fixtures.
17. Assist the Estates Team with preparation of the racing surface and improve turf husbandry knowledge/understanding.
18. Assist with Marketing literature.
19. Control the gallops record book, taking bookings and invoicing accordingly.
20. Provide support to the commercial department for sponsorship delivery and to follow up on any leads for sponsorship.
21. Create and deliver ad hoc events such as Shire Horse race and Countryside Evening.
22. Prepare and manage content and production of racecards.
23. Act as racecourse representative for Lingfield Park Owner Group.
24. Complete returns for the Racing Calendar ensuring all sponsors titles, race details and running order are listed correctly in time for publication.
25. To take responsibility for gaining an understanding of the function and services of the entire Resort and to represent the racing function with professionalism and friendliness to colleagues in all departments, as well as external contacts.
26. Be the main point of contact between the stables and racing office for booking in overnighters/ gallopers/ stalls test and ensuring any maintenance issues are passed on appropriately.
27. Be responsible for organizing and ensuring the smooth running of any Raceday Trials.
28. Ensure, in conjunction with the laundry, that there are appropriate quantities of number cloths for racing especially at multi day meetings.
29. Any other duties as requested by the Clerk of the Course or in support of the Estates Team as a whole.
