We are currently recruiting for a Facilities Assistant to work on a full-time basis, Monday – Friday, from our Head Quarters in Coventry, Warwickshire.
Helping us deliver cost-effective, high-quality office services to staff and levy payer needs, we are looking for a proactive administrator with excellent communication skills and some previous experience working in and supporting a facilities or health and safety team.

Key Responsibilities:
* Working with the Senior Facilities Assistant and Health and Safety Advisor to ensure that records, registers, certificates, and other documents are logged and stored in a consistent and accurate manner.
* Responding to work requests generated through the internal IT portal (HALO) in a timely manner.
* Distribution of incoming post and parcels.
* Administration relating to outgoing post and parcels, including organizing couriers and ensuring that postage supplies are available.
* Assisting with departmental finance processes.
* Greeting external visitors to HQ, ensuring that they follow internal Health and Safety protocols.
* Monitoring and maintaining site office and kitchen consumables and equipment, resolving problems where possible and escalating where required.
* Booking pool cars and checking documentation.
Minimum Requirements:
* Proven experience in an administrative role, ideally in a facilities or health and safety environment. Additional experience as a Fire Marshal and/or First Aider would be of benefit although not essential.
* Good people skills with the ability to build effective working relationships with a range of internal and external stakeholders.
* Highly numerate and computer literate, including a good working knowledge of Microsoft Office products. Experience of using modern information systems/portals is desirable.
* Pro-active approach to problem solving.
* Effective time management and organizational skills, with the ability to prioritize tasks and manage deadlines.
* A clear communicator, both verbally and in writing.
