About the Team
The Project Services Team in the GSMA provides project management capabilities to deliver change initiatives across the mobile industry. Working in close partnership with subject matter experts within the GSMA and from across the mobile industry, the Project Services team manages a wide range of projects in all areas of the organisation, including Technology, Product Development, Marketing and Events, as well as internal facing projects in IT, Finance and HR.
Project Services is the delivery engine for projects across the GSMA. As well as delivering projects to agreed cost, quality and timelines, the Project Services team maintains a strong focus on delivering benefits to our colleagues, our members and to the mobile industry.
About the Role
The Project Management Office (PMO) is a centralised function within GSMA that enables the governance of organisational change, providing services and support to change to the project community. Its main responsibilities are to:
1. Provide enabling processes to continuously support management of project, programme or portfolio work throughout the organisation, ensuring alignment to the business’s strategic direction.
2. Streamline project management and reporting activity whilst enabling fast and effective business decisions.
The successful candidate will report to the Head of Project Services & Change and will oversee the PMO Lead as their line manager.
Main areas of responsibility are:
Focus areas
1. Work with the Head of Project Services to create a roadmap of activities, tools and standards needed to support the ongoing growth of the Project Services team.
2. Work with the Head of Project Services, the PMO Lead, Change Managers and IT to create and execute a plan for automation of Project Management processes.
3. Create a structure for how the Project Services PMO supports and engages with the GSMA organisation.
Tools and processes
1. Own and ensure that a set of standards and processes exist to support the Project Services team in the management of project, programme and portfolio work throughout the organisation – work with the PMO Lead to ensure processes are maintained, relevant and up to date.
2. Create and maintain a plan for current project management tools such as Asana, MS Project, MS Teams etc – working with the PMO Lead and IT to ensure the Project Services team and the wider organisation has access to these tools and that they are fit for purpose, maintained, and upgraded as appropriate.
3. Work with Project Services and the wider organisation on continuous improvement to processes, tools and standards.
PMO Operations
1. Lead on engagement with the wider organisation to understand any PMO requirements needed to enable successful delivery of projects within GSMA.
2. Initiate PMO projects as needed to execute PMO improvements.
3. Support the Head of Project Services with yearly business planning and ensuring Project Services are represented and considered in outcomes.
Reporting
1. Work with the PMO Lead to create and maintain a reporting structure and cycle that works across the organisation and reflects the current state of ongoing projects.
2. Support the Project Services team to manage contribution to the organisational Objectives and Key Results.
3. Work with the Head of Project Services in the setting up and running of the Organisational Performance Reviews as well as supporting the organisation in providing information to our Board and Committees as required.
About You
As a PMO Manager you will need the following skills:
1. Expert understanding of project management practices and processes including waterfall, agile and other delivery methods.
2. Experience of creating strategies for PMO activities that supports the organisation.
3. Knowledge and previous use of a variety of PMO tools such as Asana, MS Project, MS Teams, Sharepoint, Salesforce etc.
4. Experience of managing PMO related projects.
5. Extensive knowledge of PMO processes and continuous process improvement.
6. Experience of engagement with senior stakeholders externally and internally.
7. Experience of preparing for and presenting to stakeholders of various seniority.
8. Excellent written and verbal communication skills.
9. Experience of working in an international and cross-cultural environment.
