Norwich Walk-in-Centre are looking for a Receptionist to join our friendly team on a part time basis, working 30 hours per week. You will be reliable, dependable, passionate and committed to delivering high quality health care working closely with the reception team and supporting clinicians. You will have excellent communication skills as you will register patients at Reception, managing patient flow in a timely manner. Main duties of the job The role is to provide Reception and Admin support to the Walk-in-Centre (WIC). To provide an efficient and helpful service to patients and clinical teams within the Walk-in-Centre by acting as a focal point and ensuring excellent communication between patients, clinical staff, other NHS agencies/ Services and the patients home practice. About us Norwich Walk-in-Centre, which is part of the primary care community services, provides same-day urgent treatment for a wide range of minor illness and minor injuries that walk-in patients may present with. Reception Duties: Support in answering requests via email and our website. Liaise with patients to book and manage all appointment bookings and send text messages regarding WIC appointments for respiratory clinic and telephone consultations. Direct patient queries to the appropriate service/ clinician. Liaise with all other GP practices regarding their patients to ensure that patients receive appropriate continuation of care. Frank mail and ensure it is with reception for 16:00 collection. Maintain an efficient clinic appointment and ledger system. Prioritise appointments according to prevalence and urgency. Receive patients and visitors, directing them as necessary. Register new patients within systems at the point of presentation and ensure accurate data records are kept up to date. Assist patients in the completion of relevant NHS forms and provide advice where appropriate. Inform/ advise patients of charges for private services and accept payment and issue receipts. Action requests for taxi/ambulance transportation. Inform the clinical member triaging of patients waiting at the door to ensure that patients are assessed within a timely manner. Ensuring that data and reports are created and captured to enable service review and development. Ensure that clinical equipment and PPE levels are maintained. Work in partnership with the NNUH staff to ensure that the patient is streamlined to the correct service within the NNUH environment. Management of Medical Records: Print electronic summaries of patients records and send these to home practices as appropriate. Management of Building Systems: Ensure all consultation rooms are unlocked and make preparations to receive patients. Ensure all waiting and public areas are clean and tidy Ensure all toilet areas are clean and sign in on the cleaning board. Report any health and safety concerns to the health and safety officer. Operation of Telephone Systems: Receive and make calls as required. Divert calls as appropriate and liaise with the clinical team in relation to the patients care. Make calls following Clinician requests. Book patients in the WICs Telephone appointment system and liaise with team leader and duty doctor when this has reached capacity. Administration: Organisation and administration of clinics within the WIC. Assist the Senior receptionist to train new members of staff in all aspects of reception duties.
