As an apprentice Operations Administrator, with mentoring support, you will be responsible for providing administrative support to ensure the efficient operation of the Huntingdon Workshop.
You will support customers, managers and colleagues in all departments in a variety of administrative tasks. A high level of organisation and time management is critical; the Workshop Department is a fast-paced environment where attention to detail is essential. Communication via telephone, email and face-to-face is vital to ensure customers and colleagues are kept up to date with job progress. Tasks will be completed accurately, to high standards in a timely manner.
RESPONSIBILITIES:
1. Provide administrative support to ensure smooth operations of the department.
2. Communicate with customers, managers, and colleagues via phone, email, and in person to update them on job progress and handle inquiries.
3. Coordinate deliveries and collections with external service providers and manage purchase orders.
4. Answer and direct phone calls, ensuring timely responses to all queries.
5. Maintain and update company systems to ensure data accuracy.
6. Participate in training courses and additional learning as required.
7. Perform any other administrative duties as needed to support the team.
8. Adhere to Health and Safety guidelines to ensure a safe working environment.
9. Arrange workshop deliveries and collections with couriers.
10. Relay any changes to workshop job status with customers via email/telephone.
11. Forward estimates, loss and damage charges to customers as required.
12. Raise purchase orders for spare parts and replacement stock.
13. Raise and process workshop contracts and other documents according to booking-in forms and purchase orders, ensuring all profile fields are completed and kept up to date.
14. Ensure workshop job cards are signed by technicians and accompanying tick sheets are present.
15. Ensure all workshop contracts have the notes field detail kept up to date.
16. Assist accounts with any workshop invoice queries, raising credits where necessary.
17. Ensure QlikView is correct at all times.
18. Attend any training courses as and when required.
19. Carry out other duties and tasks as and when required.
20. Comply with Health and Safety regulations to safeguard the interests of the business, our people and customers.
The apprentice will receive training from the Hire & Workshop Controller team. The practical period is the time dedicated to the development of the knowledge, skills and behaviours for your apprenticeship which includes the following components:
1. Level 3 Diploma in Business Administrator (optional).
2. Business Administrator – Knowledge, Skills and Behaviours.
3. Maths and English Level 2 (exemptions apply).
The apprentice would be assigned a Business Services assessor through the college, who would typically come out to visit in the workplace to assess workplace competence. The knowledge side would be provided via workshop remote sessions, assignments, evidence of workplace competence. Portfolio would be checked via an online Smart Assessor.
Working hours: 8:30am-5:00pm. Flexible study time with lunch break. Monday to Friday.
