The role: We are seeking a dedicated and organized Workshop Business Coordinator to join our team on a 12 month fixed term basis. This role is crucial in supporting the business through the coordination of various activities, ensuring the smooth and efficient operation of our workshop. The successful candidate will interact with colleagues at all levels, contributing to the everyday running of the workshop and ensuring it functions to its maximum capability and handling overall workshop communication effectively. The key responsibilities will be: Administrative Tasks: Manage all workshop admin tasks including timesheets, holidays, drill store records, lifting equipment records, meeting minutes, HOCs, safety sweeps, PM4s, RPE records, and HAV records. Documentation: Ensure all workshop staff sign off on paperless documentation and maintain accurate records. Procedure Review: Work closely with the Workshop Management Team (WSM) to regularly review internal procedures, standards, and documents for continual improvement. Engineering Support: Assist Production Engineering with work requests during absences. Health & Safety: Support the WSM in health and safety initiatives, conduct regular walkthroughs, coach team members, log HOCs, and coordinate their closeout. Vehicle Management: Handle vehicle bookings, document control, tachographs, and logging drivers’ hours. WRIKE Assistance: Assist with WRIKE tasks and ensure smooth workflow through departments. Waste Management: Coordinate waste transfers, ensure accurate documentation, and be one of three staff permitted to sign off waste transfers. Digitalization: Help reduce hard copies of documentation and digitalize legacy paperwork. Quality Assurance: Work with the Workshop Quality Assurance Coordinator (WSQAC) and other teams to ensure QC documents are accurate and filed correctly. Step into the WSQAC role when necessary. Asset Management: Oversee the plant database, recommend upgrades, ensure accurate record-keeping, and assist with annual audits and plant disposal. Training Coordination: Coordinate workshop training with the WSM and Learning and Development team, plan plant competencies, and train WRIKE users as needed. Who we’re looking for: Previous experience in administration and coordination, ideally in a technical environment. Well-organized with strong commercial awareness. Proficient in MS Office.
