We are a vibrant music school in Derry, dedicated to providing high-quality music education in a welcoming and inspiring environment. Our team of passionate educators and staff work closely with students and their families to create a positive and enriching musical journey.
We are looking for a detail-oriented and friendly Operations Assistant to support the smooth running of our school. This is a self-employed, contract-based role, where you will play a key role in client onboarding, maintaining records, scheduling, and event planning.
There is also scope for the role to extend to involvement in social media, depending on the skill set of the successful candidate.

Role Overview
* Rate of pay: £12.50 per hour
* Days: Ideally Monday, Tuesday, Wednesday, Friday, and Saturday
* Hours: 15 hours per week (flexible schedule)
* Location: In-person at Leap Lessons, Prehen, Derry
* Role type: Part-time, Freelance
What We’re Looking For
We need a reliable and organised administrator to help our music school run smoothly. Your role will involve scheduling students, handling lesson changes, updating records, and assisting with payments—so that teachers can focus on delivering great lessons and students get the best experience possible.
This job is perfect for someone who:

* Is highly organised and comfortable handling admin tasks.
* Can problem-solve to keep things running smoothly.
* Is confident communicating by phone and text with adult students and children’s parents.

Key Responsibilities
* Client Onboarding & Scheduling:
o Add new students' details to our system and help them get started smoothly.
o Find available lesson times for new students and help fit them into the schedule.
o Organise student reschedules and cancellations efficiently.
o Group students together for lessons where possible to improve scheduling.
* Operations & Administration:
o Maintain accurate student records, including lesson schedules and payments.
o Assist with invoicing, payment tracking, and financial record-keeping.
o Support the Operations Coordinator in ensuring a high standard of service delivery.
* Handling Payments & Cash:
o Count and record cash payments accurately.
o Double-check that all payments match our records and flag any issues.
What Skills Are Needed?
Essential:
* Two or more years of experience working with the public in customer service or administration.
* Excellent written and spoken communication skills.
* Strong organisation and attention to detail.
* Confidence in coordinating people via text, phone, and email.
* Proficiency in Google Suite, including Google Sheets.
Desirable:
* Experience scheduling timetables in an educational or non-educational setting.
* Familiarity with CRM software.
* Experience in marketing or social media (not essential, but a plus).
* An interest in music or the arts (but you don’t need to play an instrument).
