About the Team:
The Business Operations Team is responsible for the administration and smooth running of our busy office. You will be the first hire as part of a strategic growth plan, working underneath the Commercial Director and alongside the Financial Controller.
The team supports both contract and permanent recruitment placements, ensuring a high level of service to clients, candidates, and consultants. With a strong focus on efficiency, accuracy, and collaboration, they play a crucial role in maintaining the seamless operation of our business.
About the Role:
You will be working within the Business Operations team, supporting the entire organisation with their day-to-day activities. Your responsibilities will include:
* Raising contracts for clients and contractors
* Requesting and checking compliance documentation
* Working closely with the sales team, including Directors
* Onboarding contractors
* Processing timesheets
* Processing invoices for payment
* Managing Excel spreadsheets
* Running internal and external reports
* CRM / ATS administrative support
* Tender / bid administration and submission support
* Distributing enquiries from a range of channels - e.g. email forms and voicemails
* General support assisting the Commercial Director and Finance Controller
* Facilities management, office supply management, event management, charity support
You'll need an open-minded, proactive approach and a willingness to take on a wide range of tasks, including those outside your immediate responsibilities, to support the team effectively.
Your Skills Must Include:
* Experience in general office administration, ideally within a recruitment/sales/customer service environment
* A high level of computer literacy, proficient in Microsoft Office applications including Word, Outlook, and Excel
* Experience using in-house database systems
* Excellent oral and written communication skills, with strong interpersonal skills
* Experience issuing and managing contracts
* Ability to adapt quickly to changing priorities, embrace the ideas of others, and adjust your ways of working accordingly
* Ability to manage your time and diary effectively to ensure tasks are completed efficiently and appropriately
* Strong attention to detail and adherence to best practice to maintain high-quality output
* Proactively anticipate and support the activities of other team members
* Work effectively and cooperatively with others
* Comfortable working to deadlines and enjoy being part of a close-knit team that plays a crucial role in the company's success
* A positive "can-do" attitude and ambitious to learn
