Document Control Administrator
Brief Job Description:
As the Document Control Administrator, you will be responsible for the accurate transmittal, retrieval, storage and distribution of contractual documentation for the company. Reporting directly to the Documentation Manager you will need to be able to communicate effectively at all levels both internally and externally, maintaining a high-level of confidentiality.
Main Duties:
Duties will include, but are not limited to:
1. Following company internal processes in compliance with ISO 9001 approval
2. Creation and control of internal and external SDRL’s and transmittals
3. Using client portals and document control sites for official document submittals
4. Responsible for the tracking, revision, storage and distribution of all relevant documentation
5. Maintaining orderly record keeping ensuring the correct storage and up to date revisions are in line with company polices and customer specifications
6. Complying with client document numbering systems and start up package requirements
7. Managing deadlines to meet customer project requirements and departmental KPI goals
8. Liaise and distribute project information with the client and project team
9. Maintaining excellent customer service
Additional Duties:
1. Reviewing Doc requirements against OA – Looking for any variations and anomalies
2. Communicating return customer comments to the rest of the business – understanding impact on delivery and OA
3. Post Order Review (after Sales)
4. Syspro Post Order close out for Sales
5. Internal KOM
6. Production Schedules/Internally and Externally
7. Understanding Inspection and Test Plans – for holding emails and official contractual Documentation
8. Order Acknowledgement Control and Maintenance
9. Distribution of the OA to all internal departments and externally to the customer confirming our contractual agreement.

Essential Skills:
1. Minimum 2 years relevant experience in an administrator role ideally within the Mechanical Engineering/Manufacturing industry
2. NVQ Business Administration level preferred
3. Excellent communication skills
4. Strong administration and organisational skills to support efficient workflow management
5. Fully competent in Microsoft office and Adobe PDF editor
