To arrange, plan and coordinate field engineering activities (Preventative Maintenance and Remedial Works) in line with the business processes and customer Service Level Agreements. Review and close down all maintenance calls, send invoices for used equipment, issue annual invoices on a monthly basis and answer invoice queries.
This position is key to the business Service Operations for both customer excellence and business profitability.
You will be accountable for the planning and scheduling of works for a team of field engineers, undertaking all related activities required to ensure works are completed in line with business expectations.
This position holds financial accountability for the productivity and output of the engineering team allocated to the scheduler and will be measured on an ongoing basis by means of achieving daily booking targets and other set KPI’s by the business.
The position requires the candidate to be able to operate in a fast-paced environment, who can work to strict timelines and can adapt to meet the needs of the customer, which often vary depending on the contract.
Key Responsibilities
1. Efficiently schedule and coordinate all maintenance visits, repairs, and project work across the East Midlands area.
2. Manage the daily and weekly workload for a team of 9 engineers (5 maintenance engineers, 4 project engineers).
3. Maintain accurate records of all bookings, ensuring that deadlines are met and priority tasks are assigned accordingly.
4. Ensure engineers are assigned jobs in areas that minimise travel time and maximise efficiency.
5. Liaise with customers to confirm appointments, repairs, and project timelines, providing timely updates on engineer availability.
6. Track and monitor the progress of ongoing projects and maintenance tasks, adjusting schedules as needed to meet deadlines and client expectations.
7. Handle urgent and last-minute scheduling changes efficiently while remaining calm and professional.
8. Collaborate with the engineering team to ensure they are well-prepared for each job and have the necessary equipment and resources.
9. Update and maintain internal scheduling software and ensure all relevant data is accurately recorded.
10. Proven experience in an administrative or scheduling role, ideally in a maintenance, engineering, or project-based environment.
11. Strong knowledge of East Midlands postcodes and geography to ensure efficient job allocation.
12. Ability to work under pressure and meet tight deadlines in a fast-paced environment.
13. Excellent organisational skills with a keen eye for detail.
14. Strong communication skills, both written and verbal, to liaise effectively with engineers, clients, and colleagues.
15. Experience and confidence in using Microsoft Office (Word, Excel, Outlook).
16. Problem-solving ability with a proactive approach to overcoming scheduling challenges.
17. Flexible and adaptable, able to manage shifting priorities.
Desirable:
1. Previous experience working with engineers or in a similar technical field.
2. Administration experience.
3. Familiarity with health and safety regulations related to maintenance and engineering work.

Hours: 08.30 – 17.00, Monday to Friday (No weekends)
Salary: £24,500 starting salary
Annual Leave: 25 days + Bank Holidays
