West House School is seeking a part-time, term-time only Receptionist and Administration Assistant for afternoons to start as soon as possible. The ideal candidate will be an ambassador for the school when meeting parents and other visitors and will act as a first point of contact when visitors arrive. The role will encompass receptionist duties and other school administration tasks to support the smooth running of the school, reporting to the Bursar and working alongside a morning receptionist.
Job Description
Reporting to: Bursar
Key tasks:
1. Greet parents and pupils at the front desk upon arrival for drop-off and pick-up throughout the day. Assist visitors with signing in and observe ID if required.
2. Contact parents to enquire about absentees and inform relevant staff.
3. Answer the phone, deal with queries and transfer calls to other members of staff where appropriate.
4. Use the Engage system to update and maintain pupil and parent personal details and contact information.
5. Administer the Paxton Security system and Inventry signing in system.
6. Report staff absences to relevant members of SLT and HR.
7. Assist morning receptionist with registration tasks as required on Engage.
8. Use Engage to record attendance for additional school services such as late service, teas and the shuttle bus service.
9. Maintain and update fire drill registers throughout the afternoon using Inventry.
10. Email parents about school events, including sports and music information in liaison with the Head’s PA.
11. Keep the office well stocked with stationery for teachers and pupils.
12. Maintain the smart appearance of the reception area and remove and replace notices, magazines and promotional materials as required.
13. Assist other staff with filing, photocopying, lamination and other reprographic tasks.
14. Collect money on charity or enterprise event days from pupils and parents.
15. Ensure the correct menus are displayed in the dining hall.
16. Report any faults of the printer, ordering toner and unblocking the printers.
17. Process post, including franking and delivering letters to the nearest post box.
18. Assist the Headmaster with viewings when required.
19. Cover and administer first aid if Matron is unavailable.
General:
1. Work effectively as part of a team and to promote the smooth running and efficiency of the Bursar’s department and administration of the school.
2. Work within the agreed framework of the school’s policies and procedures.
3. Attend staff meetings, staff development and training as appropriate to your position.
4. Carry out such other duties which will enhance the efficiency and effectiveness of the department and the school.
5. Liaise with outside agencies as appropriate.
6. Keep all information regarding the school, pupils and staff completely confidential at all times.
7. Attend at least one Open Day or Parents’ Association event organised during the academic year.
8. Carry out any other tasks as directed by the Bursar.

Person Specification
Essential:
1. Educated to GCSE level (or equivalent) including Maths and English at grade C or above.
2. First Aid training, or willingness to undertake training at start of employment.
3. Experience of working in a receptionist and/or customer facing role.
4. Experience of working in an administrative role.
5. Ability to multi-task and remain calm under pressure.
6. Ability to prioritise tasks.
7. Excellent communication skills, with a polite and friendly telephone manner.
8. The ability to work as part of a team or independently, showing initiative.
9. The ability to respect and maintain confidentiality.
10. The ability to carry out work with good attention to detail.
11. Strong IT skills, including Word and Excel.
12. High standards of personal and professional integrity.
13. Enthusiasm for working in a school to deliver the best environment for education.
14. Willingness to promote and support the school's aims and ethos.
15. Willingness to promote and support the school's safeguarding policies and procedures.
Desirable:
1. Experience of working in the education sector.
2. Understanding of ISI regulations.
3. Experience of using a school management information system e.g. Engage.
Type of position: Permanent, part-time, term-time only.
Salary: £12,799.50 per annum (£23,835.87 full-time equivalent).
Hours of Work: 25 hours per week, term-time only, Monday to Friday 1pm – 6pm.
Holidays: 22 days annual leave plus bank holidays, to be taken during school holiday and shut down periods.
