Complex Emotional Needs Team/Pathway - BASE TO BE Confirmed
An exciting opportunity has arisen for an enthusiastic and experienced Administration Lead/PA to support the newly forming Complex Emotional Needs Pathway in Adult Mental Health Planned Care. The successful candidate will be a motivated individual who can work independently, use initiative, and be able to both prioritise and be flexible to meet workload demands without direct supervision. They will work closely with the clinical Pathway Lead in setting up administrative processes to support the whole CEN Team; organising PDCs and supervisions, collating spreadsheet data for outcomes, supporting recruitment on TRACS, minute taking, and organising the Leads goals, tasks, and meetings.
Main duties of the job
The post holder is a key member of the corporate secretariat and is expected to provide high-quality administrative and Personal Assistant support to the Directors, Deputy Directors, Senior Operational Managers, Nursing, and Leads of Service/Operational Delivery at all times.
Responsibilities include:
1. Prioritising all incoming work on a daily basis, including responding quickly and appropriately to urgent/important issues.
2. Communicating effectively over the phone, face to face, or by letter/email, ensuring that the communication style is suited to the recipient.
3. Ensuring comprehensive administration systems are in place to facilitate the smooth running of a high-quality administration service.
4. Managing the diaries of Senior Managers as required, using judgement to prioritise their work schedule.
5. Planning and organising meetings, ensuring adequate preparation is taken for them to run smoothly.
6. Maintaining the Eroster and ensuring compliance with Trust policies.
7. Assisting with the recruitment and appointment of staff using the Trust’s recruitment system.
8. Undertaking surveys and audits as necessary in regards to own work.
Person specification
* Positive approach to young people in distress and their significant others, and desire to make a helpful difference.
* Lived experience of personal recovery from significant periods of distress.
* Experience working in a helping capacity with disadvantaged groups.
