Description
To help the Berkeley Foundation to achieve its goals for young people and communities, by providing high-quality administrative support and assisting with the delivery of the Foundation’s partnerships, grants programmes and communications.
In this role, you will serve as the first point of contact for the organisation by managing incoming telephone enquiries and the Info email account. You will support the Foundation team with the administrative aspects of our grants management database, including ensuring that records are current and facilitating data accuracy. Additionally, you will perform general administrative tasks such as managing invoices, maintaining effective filing systems, printing and distributing Board packs and communicating grant decisions to applicant organisations.
The role
* Act as the first point of contact for grant applicants and enquiries to the Foundation, providing guidance and support to potential applicants;
* Undertake initial eligibility checks for Expressions of Interest and grant applications received, ensuring relevant information about local charities is shared with the wider business where appropriate;
* Support with the assessment of grant applications where needed;
* Support the planning and delivery of grant assessment panels;
* Communicate with charities about the outcome of their applications;
* Draft grant payment letters to charity partners;
* Ensure the SharePoint grants and partnerships database is kept up to date with key information, accurate data and supporting documents;
* Produce reports for Trustees meetings and Finance, Audit and Risk Committees on areas of responsibility.
* Produce biannual reports on Foundation funding for submission to 360 Giving;
Administrative support
* Organise regular Trustee and Committee Meetings and organise other internal and external meetings as required;
* To take a lead role in printing and distributing Board packs ahead of Trustee and FARC meetings;
* Ensure incoming invoices are recorded and processed accurately and paid in a timely manner;
* Monitor and report on the Berkeley Foundation cost budget;
* Develop and maintain effective electronic and paper filing systems for the Foundation;
* Ensure that office supplies are maintained and new supplies are ordered where needed;
Communications
* Assist with the creation of content for the Foundation’s website, collateral, newsletters, social media and publications;
* Assist in the organisation of Berkeley Foundation events;
Other
* Assist the wider team in additional projects as required;
* Undertake any other duties appropriate for the role that may be required.
Experience required
Essential
* Excellent organisation and time management skills, with the ability to work to deadlines;
* Strong IT skills, particularly using Microsoft Office;
* Well-versed in using CRM systems;
* Able to communicate effectively with a wide range of different audiences, both verbally and in writing;
* Good numeracy skills;
* Excellent attention to detail;
* Creative and resourceful: able to show initiative and solve problems;
* Able to work effectively within a small team.
Desirable
* Experience working in, or engaging with, the charity, community or voluntary sector;
* Experience in content creation for social media.

The standard default full-time working hours in the office are 8am-5.30pm with core working hours 9am-4.30pm.
