Within Care and Rehabilitation Services, the philosophy of our prisons is to rehabilitate offenders and equip them to re-integrate into mainstream society on release. Our training and operational practices emphasise the need to treat prisoners with dignity and respect and G4S staff build positive and supportive relationships with the prisoners in their care. HMP Oakwood is one of the largest prisons in England and Wales, providing places for up to approximately 2100 Category C male prisoners. We are looking for a dynamic individual who can work using their own initiative or as part of a team to provide an effective and efficient administration service to the Prison. Key Responsibilities: Provide a full administrative service so that the needs of the functional/departmental team are met. Maintain effective work systems, ensuring that all correspondence and documentation is dealt with in a professional manner that meets audit requirements. Collate, produce and distribute regular and ad-hoc statistics and reports so that individuals and departments receive accurate up to date information. Deal with all routine queries so that an appropriate response is provided. Act in accordance with security and operational instructions at all times to ensure the maintenance of security within the secure environment. (As required by secure establishments). Provide the Management and the Team with any additional requests for support. To schedule / maintain prisoner information on the CMS and NOMIS systems Data collation of prisoner’s activities information and supply figures to the senior management. To create security risk assessments and maintain a log on the computer systems. Manage the administration of the department Deal with service providers and all people at site in a professional manner at all times. Deal with enquiries via telephones and email systems. Maintain filing systems. Update the waiting list Assist in the promotion of creating a positive Health & Safety culture across the site leading by example, this includes reporting accidents and near misses in a timely manner & follow the applicable safe systems of work for the role. Excellent written and verbal communication skills are a must, as well as working proactively and using your own initiative.
