Contract Type: Fixed Term Appointment – 4 years Location: BAS Cambridge with possible short (up to 4 weeks) visits to research stations in Antarctica. Normal working will be a hybrid model based on 60% at BAS Cambridge and remainder of time working from home. Background/Overview NERC/BAS has taken delivery of its new polar research vessel, the RRS Sir David Attenborough. This was part of a £300M programme of works, which also included a number of land-based infrastructure projects, such as wharf upgrades, station buildings and services improvements at the research stations, invested in improving our Antarctic infrastructure. These projects are known collectively as the Antarctic Infrastructure Modernisation Programme (AIMP). The next phase of this programme, with significant spend (c. a further £300M) over the next ten years, is now underway. The programme includes air capability and infrastructure improvements, the decarbonisation of the UK’s main research station at Rothera and delivery of a new zero emissions station at Signy. All projects have very significant environmental, renewable energy and sustainability drivers. NERC/BAS has entered into long-term partnering contracts with a Technical Advisor and a Construction Partner in order to deliver this challenging programme. The AIMP projects are part of a Government capital investment for the development of sustainable and efficient infrastructure. In addition, BAS is embarking on an extensive programme of transformation to achieve a number of objectives including using resources more effectively, realising the benefits of capital investments and the integration of BAS business systems and capability with other BAS functions. Effective AIMP information management can contribute to these objectives by enabling the digital delivery of the AIMP projects and laying the foundations towards a digitally enabled estate that is managed and maintained efficiently and sustainably post-construction, and support integration with other BAS business systems. BAS has set up a Project Management Office (PMO) within the AIMP. This role sits within the PMO and is to support the AIMP Senior Information Manager to implement and deliver the AIMP Information Management Strategy, by managing information and developing procedures for information management in the AIMP. Duties: Responsible for the management of all information within the AIMP and it’s associated projects. Develop the BAS AIMP SharePoint and MS Teams sites to support the proactive management of the AIMP information throughout its lifecycle. Establish and implement information management procedures for the AIMP SharePoint and MS Teams sites, for the procurement, storage, distribution, archiving and deletion of information including access and metadata management. Manage the implementation and development of the AIMP Common Data Environment (CDE), including developing policies and procedures for the administration, provision, dissemination, implementing collaborative workflows and approvals processes where required. Responsible for the coordination of the CDE workstream on the Digital Estates Delivery Project within the AIMP, working closely with the respective information managers and document controllers within the AIMP construction partnership. Provide line management to the CDE Document Controller and work closely with the CDE Business Application Support Engineer in the configuration, administration and management of the CDE. Develop and conduct regular audits to monitor and provide quality assurance of AIMP information and ensure integrity and compliance with appropriate policies, procedures, and standards, with particular reference to the ISO 19650 suite of standards. Develop and implement an information security management policy and plan for AIMP information and associated systems, ensuring compliance with Govt and UKRI policies and in alignment with the wider BAS information security framework. Ensure and support BAS and partnership staff in their adoption, training, responsibilities and use of AIMP information management systems, to ensure consistency in working practices and accountability of users. Represent the AIMP on the Information Systems Governance Board and the Digital Strategy Working Group to ensure integration and interoperability of AIMP information management with the wider BAS organisational information framework promoting coordination and alignment. Support and work with the other BAS AIMP team members in delivering the Antarctic Infrastructure Modernisation Programme (AIMP). Communicate the work of the AIMP to the wider community. Enrolment in training for the APM Project Management Qualification and ISO standards. Skills Specification Qualifications Essential: Diploma/Degree or equivalent qualification or experience in an Information/Data Management or Technology related subject Desirable: Trained in ISO 19650 Standards Knowledge and Experience Essential: Previous information management and document control experience Proficient in the use of SharePoint and MS Teams or other collaborative information management systems. Ability to engage with a variety of IT systems Ability to build internal and external relationships effectively Ability to work with diverse range of stakeholders and strong communication skills Desirable: Experience of working within a public sector organisation Knowledge of Building Information Modelling (BIM) and ISO 19650 Standards Experience of working in a collaborative partnership Understanding of Project procedures, ideally with within a construction project context with knowledge of RIBA work stages Experience in using document control tools/Common Data Environments e.g. GliderBIM, ASite, ProjectWise, Aconex Skills and Competencies Essential: Excellent planning and organisational skills Ability to work independently and as part of a team Demonstrate independence, self-discipline and initiative in carrying out role Ability to organise and prioritise workload of self and others in order to meet deadlines and competing demands Form effective working relationships with staff of various levels of seniority and disciplines Proficient in the use of MS Office Suite (Excel, Word, Outlook, Project, PowerPoint) Good presentation skills.
