They are seeking a Senior Administrator/Receptionist to join the team in Central London. The role would be based in the office Monday to Friday. Job Purpose: The post holder will report to the Office & Facilities Manager and form part of a current team of three as the Administrative Support team. This team is responsible for supporting all sections of the business with the efficient running of the office and reception, and maintaining effective administration systems across the company, including PA assistance for all the Senior Leadership Team (SLT). This role has the added responsibility for the day-to-day organisation of the reception provision, management of stationery and kitchen supplies, and organisation of staff social events. The post holder will also deputise for the Office & Facilities Manager during periods of leave. Key Responsibilities: Administration duties Undertake administrative duties for all areas of the business as required and directed by the Office & Facilities Manager. This includes using Microsoft applications such as Outlook, Word, Excel, and PowerPoint, in-house systems, and occasionally running small projects. Provide PA/diary and administrative support to selected members of SLT, and other staff as required. Occasionally take minutes for meetings as required by the SLT and Office & Facilities Manager. Arrange conference, training bookings, and meetings for colleagues. To take responsibility for management of stationery requirements and kitchen supplies. Be a first point of contact for external queries into the business by working with the Administrator & Receptionist to monitor the general email inbox, and deal with telephone and email enquiries into the business swiftly, following up as necessary. Make business purchases via petty cash, the company Amazon account, and using the company credit card, ensuring that expenditure records are kept up to date. Reception Offer a professional, warm and friendly welcome to all visitors, carrying out full reception duties, including providing refreshments when necessary, managing meeting rooms (including monitoring bookings), and assist in the smooth and effective running of the office and reception. Oversee the day-to-day management of the reception provision, ensuring adequate cover during periods of absence, meeting resources, and planning for larger meetings. Provide first line guidance to UCLB staff using meeting rooms for AV set up. What experience you'll need: Previous experience working in Front of House/Receptionist positions. Excellent Administrative skills ideally with diary management and support for Senior Managers. Good all round IT skills including MS Excel, Word and Outlook. Strong communication skills with a customer focussed approach and professionalism. Well organised whilst being able to be reactive to urgent requests.
