National Grid is hiring a Personal Assistant in our Customer Connections Team supporting our North region based in Leeds or Warrington.
About the role
As Personal Assistant (PA), you’ll play a crucial role, working closely with the Project Directors and their wider teams, to look after their world by extensively and proactively managing diaries and emails, organising travel and accommodation, and understanding and prioritising key activities to assist in achieving deadlines. As PA, you’ll also co-ordinate meetings, seminars, conferences, where required, and dinners including Direct Report and team meetings.
What you'll do
* Effectively manage and coordinate a very busy and ever-changing diary ensuring accurate diary management and timely replies to meeting requests.
* Work closely with fellow PAs to collectively coordinate diaries for group meetings.
* Prepare for varied meetings, gathering and printing all necessary documents and agendas.
* Screen calls, take messages and respond to queries.
* Coordinate meetings, conference calls, and interviews and collect and escort visitors.
* Organise onsite and offsite meetings, conferences and events where required.
* Check, filter, forward or reply to emails and correspondence addressed to the Project Directors.
* Compile and submit expense reports and process invoices relating to the Director of IDD and their cost code.
* Log Customer discussions in CRM.
* Maintain a forward planning “virtual file” with daily and weekly files, documents, pack and agendas for meetings.
* Act as the first point of contact in order to support the resolution of queries and issues.
* Respond to stakeholders, customers and internal queries relevant to the Project Directors in order to ensure immediate response to issues raised.
About you
We are specifically seeking a highly organised and forward-thinking individual with excellent communication skills who can work in an ever-changing fast-paced pressurised environment. You’ll have the ability to work on your own initiative, be confident and act in a professional and discreet manner.
Previous experience at Exec C-suite level and experience of working as a Personal Assistant is essential as is a strong working knowledge of Microsoft Applications: Word, Excel and PowerPoint.
You’ll have the ability to assemble and handle highly confidential and sensitive information with discretion and possess good communication and organizational skills, with a high level of attention to detail. You’ll demonstrate a flexible approach and “can do” attitude to work.
