Job purpose: Coordinating all administrative duties and providing support to ensure consistent and efficient administrative operations. Working times to be flexible, to meet the organisation’s needs.
Principle duties and responsibilities:
* Support the Wellbeing Contract Coordinator.
* Support staff with admin tasks as directed by the Wellbeing Contract Manager.
* Undertake projects as required by the Wellbeing Contract Coordinator.
* Advertise events as requested by the Coordinator – creating posters, flyers and keeping brochures up to date.
* Follow the recruitment process for new staff as directed by the Wellbeing Contract Coordinator.
* Create and post job ads on Indeed and social media channels as directed.
* Maintain website and social media channels for the Wellbeing contract.
* Take minutes at meetings and type them up in a timely manner.
* Write letters as requested.
* Add data onto QCS database when required.
* Input and submit all data for Salesforce.
* Create reports from Salesforce as requested.
* Maintain excellent records and accurate data entry of client information onto Salesforce.
* Collate invoices as requested.
* Undertake reception duties as required, signposting face to face customers and dealing with phone calls.
* Retrieve and email answer machine messages.
* Supervise any volunteers that work in Admin and ensure all policies and procedures are followed.
* Update and create new company documentation/forms as requested.
* Order business supplies.
* Get quotes for the company purchase of services /products as required.
* Ensure safeguarding forms are completed and reported to the Wellbeing Coordinator.
* Have comprehensive understanding of the other services and processes.
* Undertake training as required.
Qualifications:
* Business and administration NVQ2 or relevant office experience.
* GCSE English & Maths.
Essential Experience:
* Experience of working in an office setting.
* Experience of a wide variety of administrative tasks.
* Experience of working to address the diverse needs of clients.
* Experience of liaising with clients.
* Experience of gathering feedback.
Desirable:
* Business & Administration NVQ Level 3.
* IT training courses.
* Experience working in a health and social care setting.
* An understanding of current legislation and regulatory requirements relating to care provision for older people
* An understanding of the financial implications of running a service.
* The ability to recognise problems and formulate solutions.
* A full and clean driving licence.
* Experience with Microsoft packages and data entry software systems.

* Able to identify risk, solve problems and respond to unforeseen events.
* Able to organise own workload, multi-task, prioritise and meet multiple deadlines.

* Understanding of confidentiality, GDPR and safeguarding.
