The Role: We're looking for a dynamic and enthusiastic Studio Assistant to join our team at Island Studios in Park Royal, London This is a fantastic opportunity for a highly organized and proactive individual to contribute to the smooth running of our busy studios. You'll play a key role in supporting our team with a variety of administrative, marketing, and operational tasks. The hours of work are 08:00 to 17:00 hours, Monday to Friday of each week. Your responsibilities will include: Be the first point of contact for our studio, answering calls and greeting clients with a warm and professional manner. Manage studio paperwork, including collating catering and studio documents for manager approval and processing. Provide hands-on support on studio stages and in the kitchen when needed. Collaborate with productions and agencies regarding permission to share past work. Work with the marketing team to schedule upcoming social media posts and source engaging content. Maintain and update the company website with the latest work and client information. Assist the accounts team with identifying debtor receipts and allocating payments. Process invoices using our online studio system. Manage second pencils and input booking information into the online system. Generate and distribute weekly flash reports. Reconcile booking systems at month-end and create corresponding reports. Monitor studio occupancy and generate reports. Chase outstanding invoices and liaise with solicitors when necessary. Distribute Purchase Order numbers to staff. Order materials and supplies for ground staff and chefs. Coordinate staff requests related to holidays, timesheets, and overtime, liaising with HR as needed. What you'll bring: Proven experience in a fast-paced administrative role, ideally within a creative studio environment or similar industry. Excellent communication and interpersonal skills, with a confident and professional telephone manner and the ability to build rapport with clients and colleagues. Strong organisational skills and attention to detail, with the ability to multitask and prioritise effectively in a busy environment. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with online booking systems and website content management. Experience using social media platforms for business purposes and an understanding of digital marketing principles. Familiarity with basic accounting procedures, including invoice processing and accounts receivable. Ability to work independently and as part of a team, with a proactive and problem-solving approach. A positive and enthusiastic attitude, with a willingness to learn and contribute to the success of the studio. Experience assisting in a studio or kitchen environment is a plus.
