About the Role
We are looking for a highly organised, detail-orientated Office Administrator to support our Head of Internal Sales & Admin. This is an exciting opportunity for the right candidate to grow with us as we expand. In this role, you will play a key part in creating accurate quotes, developing impactful sales materials, and contributing to our commercial team’s success. You will ensure that we provide exceptional service to our customers while driving profitable revenue from existing and new accounts.
Key Accountabilities & Duties Include
* Support the preparation of sales quotes and related materials, ensuring accurate and competitive pricing.
* Using financial data to help create profitable and aligned quotations.
* Assist in developing and refining sales presentations and materials.
* Process sales orders promptly and accurately, ensuring timely fulfilment.
* Maintain organised customer records to support efficient sales operations.
* Help manage supplier portals and ensure that price lists and necessary information are up to date.
* Provide support in generating and analysing sales reports to track performance against targets.
* Liaise with internal terms (manufacturing, procurement, design etc) to ensure customer expectations are met.
* Assist in preparing sales contracts and agreements, ensuring effective communication with both customers and internal teams.
* Monitoring expiring quotations and follow up to maximum opportunities.
* Analyse financial data to calculate margins and profits for informed decision-making.
* Generate and customer quotations using CRM software.
* Support the commercial team in identifying new sales campaigns and assisting with approval processes.
* Manage administrative tasks, such as order processing, presentations, and customer correspondence.
Knowledge, Experience, and Skills Required
* Proficient in administrative tasks and IT systems, with experience using ERP and CRM systems.
* Analytical and numerate, with the ability to calculate margins and profits and provide data-driven recommendations.
* Strong business acumen and the ability to analyse financial information to develop competitive prices and strategies.
* Experience in customer service, with a focus on understanding client needs and delivering solutions.
* Excellent communication skills, both written and verbal, for preparing documents and liaising with internal teams and customers.
* Highly organized with strong attention to detail and the ability to manage multiple priorities.
* A motivated self-starter who can proactively support the sales function and help drive business success.
* Proficient in Microsoft Office applications.
