Our client is seeking a dedicated, resourceful, and highly capable Office Manager to take ownership of their office operations and ensure everything runs smoothly. You’ll be at the heart of their head office, supporting their team and creating a positive working environment.

Key Responsibilities include but are not limited to:
1. Oversee the day-to-day office operations to maintain a well-functioning, safe, and secure workplace.
2. Answer and direct phone calls, dealing with customer enquiries with the utmost professionalism.
3. Act as the first point of contact for office-related queries, ensuring excellent communication with customers, suppliers, and stakeholders.
4. Manage suppliers, office facilities, and maintenance, ensuring contracts remain compliant and are renewed appropriately.
5. Welcome visitors, manage hospitality for customers and prepare the office for meetings.
6. Support recruitment activities, including reviewing applications and coordinating interviews.
7. Handle HR administration, onboarding new employees, and fostering a positive company culture.
8. Organise travel, meetings, and company events.
9. Develop, implement and maintain office policies, procedures, and systems, including electronic and paper records, databases, and filing.
10. Leverage AI tools to streamline workflows, gather insights, and generate data-driven recommendations.
11. Ensure compliance with Health and Safety requirements, including fire safety, emergency procedures, and staff training (e.g. first aiders; fire wardens).
12. Manage comprehensive company insurance policies, ensuring coverage across all business areas to safeguard employees, assets, and operations.
13. Liaise with building management regarding maintenance, security, and facilities.
14. Oversee IT and technology systems, including sourcing and setting up new equipment (laptops, mobile devices, printers, VOIP systems, etc.), assisting with IT queries on both hardware and software, managing company emails and domains, resolving basic IT issues in-house using own knowledge and available resources (e.g. AI tools and search engines), and escalating complex issues to external IT support.
15. Maintain supplier cost control, including efficient invoice processing.
16. Ensure the office is presented to a high standard at all times.
17. Running errands as required.
18. Contributing to team efforts by accomplishing related tasks as needed.
Experience and Personal Attributes
They are looking for a highly organised and self-motivated individual who thrives in a fast-paced environment.
The ideal candidate will have:
1. Proven experience as an Office Manager or in a similar role.
2. Strong multitasking and highly organised abilities with a keen eye for detail.
3. Excellent communication skills and a proactive, problem-solving attitude.
4. Confidence in using Microsoft Office and an ability to quickly learn new software and digital tools.
5. A willingness to troubleshoot IT issues and proactively seek solutions before escalating to external support.
6. A friendly, approachable attitude, fostering positive working relationships within the team.
7. A full UK driving licence (essential, as the office is not accessible by public transport and travel will be required for running errands and between their head office and their Gloucester office).

This is a permanent role, Monday to Friday between 8:30am – 5:00pm (30-minute lunch break), based at their head office in Calmsden, near Cirencester.
