Role: Facilities Coordinator
Location: SL3 0HQ
Salary: £30,000 to £32,000
Type: Full time & permanent
Working Days: Monday to Friday
Driver Requirement: Must be a driver as travel up & down the country to other sites is required on occasion.
Job Responsibilities:
1. Support the day-to-day smooth running of facilities, ensuring all building systems, equipment, and services are maintained and operate efficiently.
2. Assist the Compliance and Security Manager in managing company facilities to meet quality, environmental, security, and health and safety standards in line with ISO 9001, 14001, and 45001.
3. Act as the point of contact for facility-related inquiries and issues, providing excellent customer service to internal stakeholders.
4. Receive, prioritize, and coordinate responses to facility-related service requests, ensuring timely resolution.
5. Maintain an approved contractor and supplier list, liaising with contractors to ensure compliance with service level agreements.
6. Schedule and coordinate routine maintenance and repairs.
7. Maintain accurate records of maintenance activities and facility-related data.
8. Conduct routine site safety and quality audits and report hazards or issues found.
9. Maintain a facilities asset register incorporating assets such as firefighting equipment and spill response equipment.
10. Assist in investigating accidents, incidents, and near misses, providing recommendations for corrective actions.
11. Monitor and report on the usage of electricity, gas, and water to ensure environmental objectives are met.
12. Compile meaningful statistics and conduct trend analysis on relevant data.
13. Conduct investigations to a comprehensive standard and present findings to management.
14. Assist in coordinating site evacuation drills and fire alarm testing.
15. Assist in managing compliance regarding maintenance of essential firefighting appliances and alarms.
16. Support the review and implementation of environmental policies and procedures.
17. Keep up to date with changes to regulations affecting facilities, including health & safety and the environment.
18. Act as a company delegate to stakeholders, authorities, and partners.
19. Take reasonable care of own health and safety and that of others.
20. Adhere to company policies regarding health, safety, welfare, and security.
21. Perform any other tasks as assigned by management.
Minimum Requirements:
1. Previous experience in a facilities coordinator or similar role, ideally including sites with warehouse and vehicle workshops.
2. Experience in using hand power tools and fixing minor facilities issues independently.
3. Proficiency in Microsoft Office applications.
4. Experience with environmental initiatives related to pollution prevention and recycling.
5. A heightened awareness of security-related initiatives in the air-freight industry.
6. Experience in compliance auditing and using compliance management software applications.
7. Numerical accuracy.
