Reception Supervisor - Bridgemary Medical Centre
The Reception Supervisor plays a key role in ensuring the smooth running of the reception area at a GP practice. They are responsible for overseeing the day-to-day operations of the reception team, ensuring high-quality patient care, managing administrative tasks, and maintaining efficient communication between staff and patients. This role also supports the Practice Manager in operational duties.
1. Supervision of Reception Staff:
o Lead, supervise, and provide guidance to the reception team.
o Organize staff rotas and ensure adequate cover for reception.
o Conduct training and mentoring for new staff members.
o Monitor the performance of the reception team and provide regular feedback.
2. Patient Care and Communication:
o Ensure patients are greeted in a friendly, professional manner.
o Handle patient queries, complaints, and feedback in a timely and efficient manner.
o Manage patient appointment bookings, cancellations, and rescheduling.
o Promote a patient-centered approach in all interactions.
3. Administrative Duties:
o Oversee the maintenance of patient records, ensuring accuracy and confidentiality.
o Ensure the practice’s policies and procedures are followed.
o Assist in handling incoming calls, emails, and other forms of communication.
o Support the Practice Manager in administrative and operational tasks, such as stock ordering and equipment maintenance.
4. Health and Safety:
o Ensure the reception area adheres to health and safety standards.
o Handle emergency situations effectively, in line with practice protocols.
5. Coordination with Clinical Staff:
o Liaise with GPs, nurses, and other clinical staff to ensure smooth patient flow.
o Ensure communication between clinical and non-clinical staff is clear and efficient.
6. System Management:
o Ensure effective use of the practice’s IT systems for patient management, including appointment booking systems.
o Troubleshoot basic IT issues related to reception work and liaise with IT support where necessary.
7. Reporting and Compliance:
o Assist in generating and analyzing reports related to reception operations and patient interactions.
o Ensure compliance with GDPR and other regulations regarding patient information.
8. Handle challenging situations with patients or staff, using diplomacy and professionalism.
9. Mediate conflicts within the reception team if they arise.
