Requirements ?akisq?nuk First Nation (?AFN?) is looking for a talented individual to join our team as an Event Planning Coordinator. Reporting to the Associate Director of Core Services, this position is responsible for the coordination and successful execution of culture and social events, activities, and projects initiated by AFN. As a position in the newly formed Core Services department, this position will be the sole position all AFN departments work with to support the events each department would like to organize.

As a team, through our own roles and departments, the AFN Organization works together to achieve our strategic plan “Our Thinking” and continue to progress and move our community forward.
AFN has recently undergone an internal reorganization resulting in the creation of some new roles, including this position.
Job Type: This role is full-time working 35 hours per week.
The primary responsibilities include:
1. Planning:
* Develop and manage a comprehensive events calendar, including cultural celebrations, community gatherings, workshops, and special events in collaboration with all departments.
* Coordinate all logistical aspects of events, including venue selection, set-up, catering, transportation, and equipment rentals.
* Develop and execute marketing strategies to promote events within the community and beyond, in collaboration with the Communications Coordinator.
* Ensure events reflect and honor the cultural traditions, values, and practices of AFN, promoting cultural awareness among attendees.
* Collaborate with other departments, community organizations, and external partners to enhance the success and impact of events.
* Plan and execute social and cultural events such as Treaty Days and social media events.
* Liaise with internal and external departments, including finance, communications, guest speakers, and graphic designers, to ensure all events are within budget and scope.
* Work with the Procurement and Grants Coordinator to secure contracts and preferred vendor details as needed.
* Engage with community members to gather input, ideas, and feedback for event planning, ensuring alignment with their interests and needs.
* Prepare event plans and budgets, including event posters and agendas.
* Negotiate best prices, track orders, and manage merchandise and apparel for events and related activities.
1. Budget Management and Administration:
* Create and manage event budgets, ensuring all expenses are tracked and allocated appropriately.
* Collaborate with vendors, performers, artisans, and service providers to secure their participation and oversee their contributions.
* Maintain detailed records of event planning, expenses, and outcomes for future reference and reporting.
* Negotiate and monitor vendor or supplier contracts with guidance and authorization from the Associate Director and Finance department.
* Search and apply for funding from various sources to support event programs and costs.
* Ensure effective and cost-efficient management of events, including planning and tracking budgets.
* Conduct pre- and post-event planning meetings with key stakeholders to identify objectives, messaging, and communication/marketing strategies.
* Prepare and present post-event reports.
* Support the development of best practices and procedures for event planning and execution.
2. Other:
* Coordinate with the Emergency Coordinator to develop and implement safety plans for events, including emergency procedures and crowd management.
* Conduct site inspections and manage events onsite and/or virtually as needed.
* Evaluate and improve event processes with a focus on efficiency, using feedback from departments.
* Other duties as required.
Qualifications:
* Completion of a post-secondary program such as office administration, event planning, cultural studies or indigenous studies is an asset
* Minimum of two years of progressively more responsible administrative experience, including event planning
* Ability to work flexible hours when organizing and attending events
* Experience working with First Nations/Aboriginal/Indigenous communities
* Excellent attention to detail
* Excellent event management abilities, ensuring timely and budget-compliant execution of events
* Ability to communicate effectively across all organizational levels
* Ability to work under pressure in a fast-paced environment

* Competitive base salary (starting salary $48,230 to $54,283 per annum)
