Job Description
The Contract Support Coordinator plays a pivotal role in managing the process and logging of calls, emails, and quotes received from the client and suppliers. From handling calls and speaking directly with clients to logging and allocating jobs for soft FM issues like window cleaning and water cooler maintenance, the Coordinator ensures smooth operations and timely resolution of issues.
Key Responsibilities
1. Process and log client calls and emails regarding sites.
2. Identify the most appropriate solution to client requests within the contractual process.
3. Build relationships with clients and the supply chain.
4. Manage and update associated software and programs (e.g. Tririga and EAM).
5. Perform general administration duties.
6. Provide professional and articulate solutions to clients.
7. Escalate identified issues to line management and seek advice when needed.
8. Work within given guidelines and company processes and procedures.
9. Familiarise with relevant customers’ environments and contractual requirements.
10. Perform any other reasonable tasks requested by the line manager.
Professional and Personal Competencies/Qualifications
1. Previous experience in a customer service, contact centre, or administrative role.
2. Call handling experience.
3. Proficient in Microsoft Office programs.
4. Excellent communication skills.
5. Evidence of working within a team, supporting and collaborating with others to reach organisational goals.
6. Organised with good planning ability to schedule events and activities.
7. Capability to understand and analyse statistical data.
8. Ability to prioritise tasks based on deadlines.
