Job Title: Business Administrator/Operations
Location: 5 Churchill Place, London
Contract Duration: 12–15 months (with potential for extension)
Position Overview
Fenics Market Data / kACE is seeking a detail-oriented and proactive Business Administrator/Operations professional to join our team on a temporary basis. The primary focus of this role will be supporting revenue reconciliation and operational processes. The position offers an excellent opportunity to work within a fast-paced environment, collaborating closely with internal stakeholders to ensure accuracy and efficiency in financial and administrative functions.
Key Responsibilities
Contract lifecycle
1. Process all new signed contracts for both businesses.
2. Produce a summary checklist for management.
3. Handle contract and invoice queries.
4. Perform daily, weekly, and monthly revenue reconciliation tasks in coordination with finance and accounting teams.
5. Identify and resolve discrepancies by liaising with relevant departments.
6. Maintain comprehensive documentation of all reconciliation activities.
Data Management and Reporting
1. Utilize Excel extensively to gather, analyze, and present data.
2. Administer channel partner revenue reports and updating records.
3. Generate regular operational and financial reports to support decision-making.
4. Use Power BI (if available) to create and update interactive dashboards for trend analysis and performance tracking.
Operational Support
1. Assist with general administrative tasks, including maintaining accurate records, managing documentation, and ensuring compliance with company policies.
2. Coordinate cross-functional initiatives to improve workflow efficiency.
3. Provide support to the operations manager and other team members as needed.
4. Collaborate within internal departments for marketing and events.
Communication and Coordination
1. Act as a point of contact between different departments (finance, sales, operations) to resolve operational and administrative issues.
2. Draft and circulate clear, concise communications to stakeholders regarding project updates, deadlines, and key deliverables.
3. Participate in meetings, provide status updates, and follow through on action items.
Process Improvement
1. Identify and recommend process improvements to streamline administrative and revenue-related activities.
2. Assist in the implementation of new tools or systems that enhance operational efficiency.
Required Skills & Qualifications
1. Educational Background: Degree in Business Administration, Finance, or a related field (or equivalent relevant experience).
2. Excel Proficiency: Advanced Excel skills (PivotTables, VLOOKUP, formulas, data analysis) are essential.
3. Power BI Skills (Preferred): Familiarity with Power BI or similar BI tools is a plus.
4. Attention to Detail: Proven track record of managing large data sets with high accuracy.
5. Communication: Strong written and verbal communication skills, with the ability to present complex information succinctly.
6. Organizational Skills: Excellent organizational and time-management abilities to handle multiple tasks and meet deadlines.
7. Team Player: Ability to collaborate effectively with cross-functional teams and build positive working relationships.
Additional Information
1. Contract Duration: This is a temporary position for 12–15 months, with the possibility of extension based on ongoing requirements.
