Morrison Water Services is currently looking to recruit an Office/Operations Support & Resilience Manager for our Southern Water Frameworks based in Falmer.
As Office & Operations Support & Resilience Manager, you will report to the Contract Director. You will be a highly organised, efficient multitasking and flexible individual who is keen to be part of a vibrant office environment. As part of the role for Operational and Resilience support duties, you will provide support to the Senior Management Team and ensure that the MWS Southern Water Programme runs smoothly and efficiently.
The Falmer office will have approximately 30 personnel, hot desks and multiple meeting rooms and be shared with other contractors and clients. The role also provides ad hoc support to business development and support where required to the Framework senior Leadership Team including managing Framework management information hub, managing access to Group Policies and procedures, assisting with compliance for Absence, sickness and holiday reporting, Timesheet and overtime collation along side other key duties such as co-ordinating Events and Briefings, Management Diaries for Client/Monthly Framework Reporting.
As our programme of work develops, regional offices will be established and some travel to support set up and manage additional members of the team that may be required to support the management of these. This will involve some level of travel, however, will not require working away from home or overnight visits.
This Role is a full time office based role.
As a Office/Operations Support & Resilience Manager your duties and responsibilities will be:
- Management of office facilities, including liaison with the Clients Facility Management Team
- Management of support services
- Ensuring satisfactory IT services, escalating to Internal IT help desk, where required and oversee problem resolution
- Developing strategy for office layout, ensuring space is maximised and availability of hot desks for visitors
- Branding and environment to show a professional image
- Maintaining sickness, absence, and holiday information
- Responding to changing requirements such as space for temporary project and meeting room management
- Assistance with ensuring all legal HR policies are in place and up to date
- Assist with maintaining all data protection regulations and GDPR regulations
- Scheduling and organising conferences and events
- Maintain filing systems and office organisation
- Compilation of various reports within strict timescales
- Coordination of Senior Management team diaries
- Prioritising and drafting correspondence, reports and presentations etc, using Microsoft Office
- Administrative tasks related to office operations, which may include coordinating office supplies, and ensuring smooth day-to-day functioning;
- Assists managers by providing administrative support, managing schedules, and handling various tasks related to organizational management.
- Ordering all IT Equipment & consumables - Maintaining an accurate asset register, tracking company assets, and ensuring their proper utilization and maintenance.
- Onboarding & MWS staff training matrix administration. Implementing and improving the onboarding experience for new employees.
- Work directly with new hires, facilitate introductions, provide training, and offer support throughout the initial employment phase, set up & maintain user accounts (office 365, SharePoint access, Salesforce)
- Managing payroll & overtime sheets, checking commercial report & ensuring zero errors
- Track, and manage training initiatives for MWS staff
- Ensure employee Engagement surveys, reviews and outcome implementation
- Chair Contract Improvement Group and Communicate outcomes and ensure implementation of appropriate initiatives; Contribute to Leadership Team Meetings
- Assure and Test Business Continuity Plans
- Ensure Maintenance of Stakeholder Mapping and Engagement Plan
- Booking travel & hotels (using most cost efficient options), arranging events
- Keeping SharePoint pages up to date & updating relevant news & information
- Identify and Train 2no. Existing staff to provide resilience
Skills and Knowledge Requirements:
- Previous experience in a similar role
- Knowledge of Microsoft Office, marketing and presentation tools
- Understanding of business communication tools and processes
- Self motivated and able to work on own initiative, with excellent planning and time management
- Effective communication skills whilst maintaining high levels of confidentiality
- Efficient and well organised individual, with the ability to continually prioritise workloads to meet tight deadlines
- Strong teamwork skills
