Job Purpose: To support and assist the Technical Facilities team in delivering a highly optimised and administered Integrated Workplace Management System (IWMS). This role involves monitoring, planning, and scheduling PPM, corrective, and reactive workloads for both in-house staff and contractors, while promoting consistent standards across the estate. The post holder will manage the IWMS from an Operational Maintenance Perspective, requiring process orientation, excellent relationship-building skills, and adaptability in a fast-paced environment.
Key Responsibilities and Duties:
* Oversee daily operation and maintenance of the IWMS system.
* Ensure the system is up to date and functioning correctly.
* Ensure new sites and assets are correctly uploaded to the IWMS tool.
* Provide templates to suppliers for new sites and guide them through completion to ensure timely operations.
* Evaluate system patches and changes, ensuring updates are understood and progressed as required.
* Manage and maintain accurate data within the IWMS system.
* Generate reports and data analysis on schedules.
* Ensure the system can report on asset performance and condition, verify supply chain utilisation, and audit completed tasks.
* Document and manage critical spares via the IWMS tool.
* Provide training and support to IWMS system users.
* Work closely with the facilities management team and suppliers to align IWMS administration.
* Collaborate with SaaS suppliers to develop and upgrade the IWMS, ensuring it meets business needs.
* Liaise with stakeholders to ensure the IWMS system meets business needs or recommend changes.
* Conduct regular audits and quality checks of the IWMS system.
* Promote better ways of working and ensure the correct use of the Incident communication tool.
Education and Experience Required:
* Ability to communicate well with all staff and client teams.
* Attention to detail with a pride in doing it right the first time.
* Level 4 qualification and/or relevant experience.
Industry Knowledge:
* Good understanding of facilities management and/or data centres.
Organisation:
* Ability to maintain accurate records of system upgrades and changes.
* Develop working relationships essential to effective IWMS delivery.
Technology:
* Proficiency in MS Office suite.
* Experience with facilities management software.
Additional Requirements:
Essential:
* Ability to achieve SC Clearance.
* Ability to analyse data and produce reports.
* Effective communication and organisational skills.
* Experience using or administrating a facilities management tool.
Desirable but not Essential:
* Clean driving licence with access to own vehicle.
