RECEPTIONIST/OFFICE COORDINATOR Based in the heart of Shoreditch, we are an award winning digital content studio and media network who are currently on a quest to find a Receptionist/Office Coordinator to join our Operations team. As Receptionist/Office Coordinator, you will play a pivotal part in supporting the Facilities Manager to run our London office effectively, welcoming all visitors and staff as their first point of contact in the building. HOW YOU'LL SPEND YOUR TIME Answering the main phone and directing messages Execute the weekly agenda (repairs, office activities, preparing office for meetings) Helping to comply with the Health and Safety regulations within the building, e.g. keeping offices and corridors clear and tidy; Supporting and updating office operations, protocols and procedures, e.g. updating checklists, logs of mental health first aiders; Managing the reception area and welcoming guests and staff; Delivering the office induction to new starters and liaising with the IT team regarding leavers for collection of equipment/company property; Managing and liaising with contractors on remedial work as well as checking that regular maintenance has been completed as contracted; Acting as first port of call for office breakdowns e.g. electrical outages, issues with facilities such as plumbing, air-con, and escalating to the Facilities Manager as necessary; Ordering couriers, taxis, and stationery (proactively keeping supplies replenished at all times); Managing supermarket food orders for the building, proactively keeping supplies replenished at all times; Helping the Social Committee with organising social events for the building, including the annual summer and Christmas parties; Organising fortnightly staff massages, weekly social drinks, drawing classes and yoga; and delivering post within the building. WHAT YOU NEED TO SUCCEED Skills matter, experience is useful, attitude is everything. Excellent communications skills, both written and verbal; An ability to be self-sufficient and also work as a team player; Respect for confidentiality and have a diplomatic manner; The ability to multi-task and thrive in a fast-paced environment; Excellent in-depth working knowledge of Google Mail and Google Drive; A highly organised, proactive and resourceful approach with the ability to reprioritise tasks as needed; A respect for and an understanding of general health and safety policies; Accuracy and an eye for detail.
