Job Title: Academic Support Officer
Location: Oxford (Office Based)
Main duties:
Team Supervision and Contribution to the Improvement of the Processes
* Managing the Academic Team, in consultation with the Director or other senior colleagues
* Supervising and holding regular meetings with the team to ensure that the running of all projects is efficient, and the expectations on performance and progress are met
* Develop a positive working relationship with team members and create a positive and enabling operating environment for the team
* You will provide support, guidance and supervision to more junior or inexperienced staff in the team. This will include tasks such as delivering training, providing advice on complex cases, supervising temporary staff and assisting in checking non-routine correspondence.
* You will be expected to actively contribute to the development and enhancement or processes and systems. This may include tasks such as: reviewing processes and providing ideas for improvements; and helping to develop instruction manuals/process notes, etc.
* Propose the creation of new systems and processes to streamline operations to keep up with the changing needs of the team.
* You will be expected to prepare and develop a detailed materials of policies and procedures, such as for BAC accreditation.
· Training and coordination of temporary and external staff
· Operating as an individual, organising and planning your own work activities
· Maintaining and improving efficiency of current working methods
· Prioritising your workload effectively and pre-emptying any issues that may arise where possible
· Similar general administration duties and programme support tasks online and offline
Programme development, management and administration
* Ideating new programmes and events, assessing programme needs with line manager and others
* Researching and contacting prospective speakers for our programmes and events
* Timetabling and scheduling of sessions online and offline
* Setting up online sessions and offline classroom premises when appropriate
* Preparing and processing all related paperwork
* Ensuring smooth day-to-day running of the programmes
* Maintaining and updating database as requested
* Taking responsibility for the day-to-day management of overall programme lines (with particular responsibilities for specific programmes) and being responsible for the final outcomes.
* You will take ownership of more complex courses, or new courses which require new processes and procedures to be set up.
* Liaising with our market team to understand their needs and to propose programme plans
* Working independently or/and jointly with team members to develop and deliver the complete portfolio of clients’ new project initiatives from start to finish
* Exploring and contracting tutors and speakers for specific topics
* With support from the Marketing team, preparing and updating the content of promotional and other publicity material (e.g. brochures) and providing general support for course promotion.
* Creating course handbooks and syllabi to be sent to students
* Proofreading any course materials
* Creating and developing written promotional materials; developing new market leads
* Preparing written certificates, transcripts and other reports consisting of qualitative and quantitative data related to programme activities
Student Support
* Being responsible for preparing, organising and populating programme documents with up-to-date materials and information, ensuring accuracy, clarity and consistency in content
* Communicating clearly and in an engaging manner with the students, primarily through WeChat
* Interviewing prospective students for our courses
Communications
* Consistently demonstrating a ‘can do’ approach to work and self-motivate to achieve high quality standards.
* Build effective and positive relationships with key stakeholders, both within and outside the OPP, and ensure good lines of communications with our speakers, external collaborators and suppliers, and academic institutions and others, to build a stronger profile and reputation for OPP
* Working in collaboration with the Operations Team in daily management of the team, and providing general support to the Director, as required.
* Representing and managing the public face of OPP, including the website and news announcements, along with supporting communications in promoting the work and successes of the group.
General programme administration
Essential:
- Strong administrative and management experience in an educational setting
- Ability to work calmly under pressure, prioritising work and meeting deadlines
- Excellent computer skills
- Attention to detail and record-keeping
- Pro-active and ‘can-do’ attitude
- Clear interpersonal and communication skills
- Min. 2 years of experience at similar level
- Master’s degree (or BA degree + significant experience)
Desirable:
- Experience working with international participants and students
- Good understanding of short course programmes, university summer schools, university teacher training, academic writing in Higher Education context
- Good knowledge of Oxbridge system and tutorial teaching
