The Role / Location
The main function of this role is to provide management support in the busy retail and leisure environment of Cityside Retail Park.
Cityside Leisure and Retail Park extends to, sq ft and is NI’s largest leisure and retail development located on the edge of Belfast City Centre. The property comprises leisure accommodation totalling, sq ft and retail accommodation totalling, sq ft.
The candidate will assist in the day-to-day operation of the scheme as a vital part of the centre management team and be responsible for the implementation of a diverse series of duties.
This is a part-time 24 hours per week position.
Key Responsibilities
1. Assist management in the day-to-day coordination and management of the centre’s operational activities
2. Administration duties and office support for the centre manager and/or client and visitors
3. Invoice approval using various systems (inc Yardi accounting software)
4. Assist with supplier approval, contractor management, issue permits to work, review of RAMS and similar duties
5. Assist the Centre Manager and managing agent in proactive reporting
6. Coordinate contracted cleaning schedules to ensure the highest of standards are maintained at all times
7. Liaise with security to ensure adequate coverage is maintained at all times
8. Liaise between customers, tenants and the managing agents to ensure smooth delivery of operations
9. Health & Safety and Fire Safety, including Compliance checks in conjunction with third party specialists (including the resolution of any identified risks)
10. Ensure compliance with all in-house security, health, safety, fire, welfare and standard operating policies, procedures, and protocols & compliance with relevant Health & Safety legislation
11. Promote good safety habits and methods of work
12. Report all health and safety issues to the Centre Manager, including accidents and near misses
13. Be willing to attend and complete the relevant fire warden training
14. Be the tenants point of contact during evacuations
15. Coordinate activities on the mall floor, including kiosk placement and invoicing
16. Ensure all contract documentation is up to date and compliant
17. Advise on energy efficiency and cost-effectiveness
18. Monitor and update social media for the centre (including answering queries from the public, sharing new content and promoting tenant material on the Cityside RP pages)
19. Liaise with tenants on-site; this includes store visits to keep up to date with new stock arrival, photography and/or videoing stock for social media platforms
20. Use of Microsoft Office software, e.g. Word, Outlook, Excel, Powerpoint., Power BI. Use of additional software to support social media activities, ie. Canva, video editing apps and photoshop.
21. Any other reasonable duties as required.
Skills, Knowledge and Experience
22. Previous experience in Administration or PA experience or in a project management role
23. Proactive, capable of working as part of the team and on your own initiative
24. Demonstrate excellent standards of customer care
25. Demonstrate excellent communication and telephone skills.
26. Have strong organisational, administrative and multi-tasking skills
27. Excellent IT skills including but not limited to Microsoft Word, Excel and PowerPoint
28. Demonstrate excellent levels of accuracy and attention to detail
29. Proficient in using Social Media channels -Tik Tok, Facebook, Instagram etc
30. Knowledgeable and interested in social media trends
31. Creative eye for video content and photography
32. Experience in editing and use of additional apps that can support digital activity- Canva, Photoshop etc
33. Willingness to adapt to new ideas and initiatives and to make constructive suggestions as appropriate
