We're looking for an experienced individual to join our successful Investment & Property Management (IPM) team to support with delivering property management for a mixed real estate portfolio. Our successful candidate must be able to build trusted partnerships with our clients and uphold the high standard of service we are known for. To be considered, you must have previous experience working within a commercial property management role aswell as being able demonstrate in depth knowledge of property management-related matters
The portfolio includes retail, office and miscellaneous properties in and around Cambridge - much of which is situated in the historic centre adjoining College operational property. The portfolio outside of Cambridge portfolio oversees holdings in Portsmouth, Kingston & London.
The main aim of the IPM team is to maximise the potential of client’s property assets whilst encouraging clients to consider their property as a dynamic part of their overall investment strategy. We're looking for a commercial property manager who can become a trusted partner to our clients and continue the reputable service we currently offer.
What you'll be doing:
* Managing ongoing tenancies, transactions, vacant units, tenant alterations & landlord projects/works
* Providing guidance and support to the Facilities Manager in the procurement, retendering and instruction of contractors & service providers, and Landlord & Tenant matters
* Reviewing utilities and service contracts, aiming for consistency and best value
* Managing all buildings as sustainably as possible
* Notifying insurers of any changes in tenancy or works
* Notifying client accounts of likely expenditures on a monthly basis (for building projects of repair/maintenance)
* Keeping records up-to-date on internal databases whilst ensuring all tenancy charges are recorded
* Holding regular reviews with the facilities team on their H&S & risk management compliance score
* Organising tenant engagement meetings (for street events, service yard operations & sustainability objectives)
* Acting upon any observed breaches of lease covenants
* Managing new tenants whilst providing building-related information & protocols to ensure smooth transition into a managed building
* Being the main contact for client accounting team on rent collection and debtor matters
* Responsible for monitoring debtors and providing advice to client accounts on action
* Checking and confirming pre-list/exceptions and invoicing
* Assisting lease consultancy on lease renewals and rent reviews, or agency for new lettings, or external valuers for valuations
* Being a key point of contact for communication with tenants and tenant’s agents
* Preparation and issue of tenant/property handbooks
* Undertaking annual property management inspections
* Agreeing appropriate inspection scheduling with the Facilities Manager across the estate, direct let leasehold, long leasehold, multi-let leaseholds, common parts or yards
* Responsible for Service Charge Management (leading the preparations of budgets, execution, monitoring & liaising with Asset Manager, Facilities Managers & Accounting teams in budget approval with client, delivery & reconciliation process
