We are looking for a Digital & Technology Administrator, to join our team for 12 months fixed term contract. Where in Wellcome will I be working? You will be part of the Business Support team within the Digital and Technology (D&T) department reporting to Business Support Manager. The team covers a variety of services that support the department including procurement of IT hardware and software, contracts management, supplier management, provision of mobile devices and Executive Assistant/Personal Assistant support for the senior leadership team in D&T. What will I be doing? You will be a vital part of Wellcome, responsible for a variety of tasks including the provision of mobiles, processing of invoices, raising of purchase orders and supporting supplier and contract reviews as well as undertaking general departmental administrative duties in order to support the efficient running of the wider D&T team. As a Digital and Technology Administrator, you will: Undertake all administrative procedures to support the Digital & Technology procurement process (in conjunction with procurement team), including organising supplier review meetings, raising of purchase orders, requesting new supplier accounts, invoicing, goods receipting. Maintain online filing systems including assisting with the management and maintain the Digital & Technology Central Filing system. Ensure that there are regular routine operational supplier review meetings and attend the meetings as secretariate. Exercise cost control and seek approval for expenditure to ensure we work within the agreed operating budget. Ensure the documentation of all supplier meetings, including action logging with action tracking to resolution. You will be a point of contact for the wider D&T department (and in some cases wider Wellcome) on various activities such as mobile provision, purchase order & invoice processing as well as contract & supplier support and the role will provide lots of variety with no two days being the same. You will gain exposure to the wide range of operations of the D&T department and will be a valuable sounding board for key decision makers as appropriate. We are looking for someone who: Has gained previous experience as an administrator is methodical, organised with a high attention to detail Has experience with raising purchase orders, processing invoices, using SharePoint as well as organising and servicing supplier meetings including pulling together agendas & action trackers Confident working with senior management in an IT environment Contributes to a diverse and inclusive culture across the organisation, collaborating across departments.
