As Executive Assistant you will play a crucial role in managing and delivering a wide range of key tasks that enable the UK Manufacturing General Manager and his team to focus on strategic initiatives and operational productivity. The role is interesting and varied, facilitating effective communication and coordination of role duties across the UK and wider global network.

In this role you are accountable for
1. Support site EHS activities through compliance with all environmental, health and safety policies/procedures, and through active participation in EHS programs and initiatives.
2. Provide direct support to the General Manager (primarily) and the Site Leadership Team. E.g. coordinating complex scheduling and calendar management, managing travel logistics, organize team communications and plan events, both internal and off-site, and prepare, reconcile, and submit expense reports.
3. Keep the General Manager advised of time-sensitive and priority issues, ensuring appropriate follow-up.
4. Assist with the development and implementation of new and updated policies and procedures and prepare and update documents, spreadsheets, reports and presentations.
5. Coordinate month end reporting requirements, ensuring the month-end report/presentation is prepared on time and in a consistent, on-brand format.
6. Arrange, attend and assist in running appropriate meetings, preparing agenda’s, producing minutes and action tracking. E.g. Site Leadership Team meetings, Trade Union meetings, Inclusion Resources Group meetings, etc.
7. Manage Site Leadership communications, including through SharePoint and Electronic Bulletin Boards. Liaise with Communications Specialist and ensure all posts comply with company guidelines.
8. Ensuring the proper confidentiality classification and handling/retention of documentation in accordance with CF policy and maintain professionalism and strict confidentiality with all materials.
9. Work with employee records, updating employee information into the Workday HR system.
10. Assist with recruitment activities, such as posting job advertisement, handling of applications and shortlisting, scheduling and attending interviews, completing all onboarding requirements including employment checks and preparation of confidential documents such as employment contracts.
Experience
The ideal candidate will be an experienced administration professional with a demonstrable 3-5 years' experience supporting a senior executive or team.
Comfortable interacting with all levels of the organisation from high-level executives to front line staff.
Experience with Workday HR and a knowledge of HR policies and procedures, would be an advantage.
Skills and Competencies
* Excellent communication skills and the ability to work, plan and make decisions with minimal supervision.
* Excellent computer skills, including the Microsoft Office Suite (SharePoint, Outlook, Teams, Word, PowerPoint and Excel).
* Excellent organisational and time management skills are essential.
* Strong attention to detail and accuracy.
* Ability to maintain confidentiality and handle sensitive information.
