Job summary Full Time Band 2 Administration Assistant Lewes and Havens Assessment and Treatment Service An exciting opportunity has arisen in the High Weald, Lewes and Havens Assessment and Treatment Service for 1 full time Band 2 Administration Assistant based at Hill Rise, Newhaven. We are looking for a well-organized, efficient administrator to be an effective member of the team. Preferably you will have experience in a medical setting or administration experience elsewhere. You will have good communication, organisational and time management skills. An ability to prioritise effectively in a busy environment is essential and well as having a flexible approach. The main duties of the role include filing clerk duties alongside undertaking reception responsibilities and general administration tasks. You must be proficient in the use of Microsoft Office including 'Outlook' and 'Word'. Experience in the use of databases is desirable as well as running and maintaining a complex filing system. Hours: 37.5 Monday - Friday 8.30am to 5pm. Answering telephone calls, taking messages and passing on accurate information to the relevant members of staff. Deal with room bookings sent to the Outlook inbox and keep staff updated with their booking requests. Meet and greet service users, visitors and staff into the out-patient unit. Ensure that the person they are visiting is contacted regarding their arrival. Promote a positive image of the department by checking that notices and leaflets are up to date and well presented. Ensuring the reception area and clinic rooms are tidy and secure at the end of each working day. Opening the daily incoming post and passing to relevant person. Preparing prescription requests for reception supervisor.
