An exciting opportunity has arisen to join the Patient Safety Team. Our department is looking to recruit an exceptional candidate on a permanent basis, as an Administrator. The position will provide efficient secretarial and administrative support to the Trust’s Patient Safety Team, Patient Safety Incident Response Framework (PSIRF), Clinical Incidents, and secretarial support to the Patient Safety Team.
You will be highly motivated with excellent communication skills and have an ability to work under pressure and have a willingness to learn and develop within the role. The role is diverse, with each day bringing new challenges. You should be reliable, flexible, self-motivated and have the ability to problem solve. A proactive "can do" attitude is required as well as a commitment to high quality work. You will need to be an excellent team player, highly organised, have excellent verbal, written and IT skills and be able to remain calm under pressure. An ability to work independently is required, effectively prioritising and managing a varied workload and adapting to service needs where necessary.
Main duties of the job
1. Take accurate minutes at patient safety meetings including those supporting the PSIRF process, the content of which may include information that is distressing or disturbing (support is available).
2. Support the process of responding to Central Alerting System (CAS) alerts.
3. Maintain efficient electronic filing systems, ensuring strict confidentiality of patient and colleague identifiable information.
4. Assist in the organisation of meetings and conferences, including arranging venues and hospitality, some of which may occasionally be outside of standard working hours, together with ensuring the appropriate documentation and resources are available.
5. Use Datix, the Trust’s incident reporting system, to update the progress of incident management, including investigations.
6. Generate reports using Microsoft Excel using data extracted from Datix.
7. Undertake any other appropriate duties as may be delegated from time to time.

Detailed job description and main responsibilities
1. As part of an administrative team, provide efficient secretarial and administrative support to the Trust’s Patient Safety Team, Patient Safety Incident Response Framework (PSIRF), Clinical Incidents, and secretarial support to the Patient Safety Team.
2. Project the professional image of both the Nursing, Therapies & Quality Directorate and the Medical Directorate, demonstrating excellent interpersonal and communication skills.
3. Adopt a constantly flexible approach to ensure that all individual and Directorate objectives are completed efficiently and within given timescales.
4. Maintain confidentiality at all times.
Person specification
Educational
* NVQ Level 3 in administration or equivalent experience
* GCSE or equivalent in English Language and Maths
* European Computer Driving Licence (ECDL) or equivalent
Previous Experience
* Proven experience of working unsupervised in a busy administrative office environment
* Ability to take accurate minutes of high level meetings
* Experience in information analysis and provision of statistical reports
